Job description

About the role

We are looking for an experienced Executive Assistant to support the Chief Underwriting Officer (CUO) in Miami, ensuring executive operations, event coordination, travel, and guest management run smoothly.

Key Responsibilities
  • Take ownership of the CUO’s complex calendar, scheduling across time zones, resolving conflicts.
  • Arrange global travel and align commitments with business priorities.
  • Compile documents for meetings and conduct basic research to draft requested documents.
  • Maintain confidential files and manage the CRM database (client contacts, logs, distribution lists).
  • Handle ad hoc tasks, prioritize conflicting needs, and provide appropriate responses.
  • Produce deliverables that free the CUO to focus on strategic projects.
  • Handle all travel arrangements (flights, hotels, itineraries) and prepare expense reports.
  • Coordinate expense management with the office manager.
  • Collaborate with Office Manager and other executive assistants.
  • Support other executives as needed and contribute to project coordination and process improvement.
  • Provide a professional experience for external visitors, managing meeting logistics and hospitality.
  • Organize and coordinate events, including logistics and travel for attendees in Miami or other locations.
  • Assist with local accommodation and transportation for clients, visitors from MS Re offices, and the Global headquarters.
  • Support executive meetings and internal/external events with tailored setups and catering coordination.
Qualifications
  • 7–10 years of experience supporting executives in a global organization.
  • Cultural awareness and extensive travel experience, especially in Latin America and other global regions.
  • Relevant marketing experience, ideally involving collaboration on marketing initiatives or projects.
  • Significant experience in event coordination at local, regional, and international levels.
  • Strong track record of providing high-quality guest and client support.
  • Exceptional organizational skills and ability to manage multiple priorities.
  • High level of professionalism, discretion, and attention to detail with executive presence.
  • Bachelor’s degree in business administration, marketing, or related field.
  • Formal training or certification in Executive Administration or Office Management.
  • Excellent verbal and written communication skills.
  • Business fluency in English and Spanish required.
  • Advanced proficiency in MS Office Suite and collaboration tools such as Teams, Zoom, and SharePoint.
Location and Eligibility

Position based in Miami, Florida. Eligible to work in the United States is required.
