LHH is partnering with an organization in the Arlington, VA area to bring on an Executive Operations Associate. This is a temporary position with the possibility to convert to a permanent role.
The Executive Operations Associate plays a critical role in ensuring seamless day-to-day office operations while providing high-level executive support to leadership. This position blends workplace operations, vendor coordination, event logistics, and executive assistance into one highly proactive function. The ideal candidate anticipates needs before they arise, takes ownership of outcomes, and continuously improves office systems, workflows, and executive support processes.
This position requires onsite work five days per week and offers compensation between $25–$34 per hour, depending on experience.
Responsibilities
Office Operations & Workplace Management
- Own daily office operations to ensure a smooth, efficient, and well-maintained workplace environment.
- Manage incoming and outgoing mail, packages, and deliveries with accuracy and urgency.
- Anticipate supply needs and maintain inventory across all shared spaces, including kitchens, mailrooms, and restrooms.
- Proactively identify operational gaps and implement improvements to enhance office efficiency.
- Build and maintain relationships with key vendors, including mail, cleaning, shredding, and property management providers.
- Ensure all office areas remain organized, stocked, and aligned with company standards.
Meetings, Events & Logistics
- Support onsite meetings, leadership sessions, and company events, including room setup, catering coordination, and materials preparation.
- Coordinate logistics for internal and external events, ensuring smooth execution from planning through completion.
- Maintain relationships with venues and external vendors to support event planning and execution.
- Identify opportunities to improve event workflows, attendee experience, and operational efficiency.
Executive Support & Business Enablement
- Provide high-level executive support with discretion, confidentiality, and professionalism.
- Manage complex calendars through proactive scheduling, prioritization, and conflict resolution.
- Coordinate domestic and international travel arrangements, including detailed itineraries and contingency planning.
- Serve as a key communication liaison between executives and internal and external stakeholders.
- Prepare reports, presentations, agendas, and executive materials while independently initiating deliverables when needed.
- Support special projects through research, coordination, execution, and follow-through.
Qualifications
- 3–5+ years of experience in office administration, executive support, operations coordination, or a related field.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Highly proactive with the ability to anticipate needs and work independently.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- High level of discretion when handling sensitive and confidential information.
- Strong problem-solving skills with a continuous improvement mindset.
- Ability to adapt quickly to changing priorities.
