Job summary

Colwen Hotels is seeking an Executive Meeting Manager at the Portland Harbor Hotel/Portland, ME to oversee planning and execution of meetings and events. You will partner with hotel operations and clients, manage contracts, and coordinate food, beverage, décor, AV, and vendors to meet clients' vision.

The ideal candidate has 2+ years in sales and catering for social and corporate events, hotel experience preferred, and strong leadership with solid computer skills (Delphi).

Qualifications

• 2+ years of sales and catering experience with a strong emphasis on social events.
• Proven track record in social and corporate catering.
• Previous hotel experience preferred.
• Strong leadership skills.
• Intermediate to advanced computer skills (Delphi systems).
• Familiar with common computer software programs.

The Portland Harbor Hotel and Cambria Portland Downtown- Old Port, Colwen Hotels Properties, are seeking an experienced Executive Meeting Manager to join our team. In this role, you will be responsible for working directly with the respective hotel operations teams and clients to ensure the perfect execution of meetings and events, serving as the main point of contact for the client and overseeing the event through execution. The ideal candidate for this role is highly motivated, energetic, detail-oriented, and has previous event management experience.

General Responsibilities:

• Responsible for working directly with the respective operations teams and clients to ensure the perfect execution of meetings and events.
• Manage event booking process, including assessing client needs, reviewing and recommending food and beverage, décor, floral, audio/visual, vendor, and venue options with the client, tailoring opportunities to meet the client's vision, generating contracts, and negotiating terms.
• Serve as the main point of contact for the client and oversee the event through to execution.
• Supervise the execution of banquet events and monitor service provided by banquet staff.
• Cultivate relationships with new and existing clients to generate business.
• Formulate sales and marketing strategies for the assigned hotel.
• Organize and facilitate tours for potential clients.
• Collaborate with the sales team, revenue management, and Hotel General Managers to maximize the profitability of properties while maintaining guest satisfaction.
• Coordinate with the accounting team to ensure all payments are received and processed accurately.
• Ensure knowledge of and adherence to standards by the banquet team to achieve optimal sales service and client retention.
• Proactive solicitation of new business to achieve sales and revenue goals.
• Negotiate food and beverage pricing and other services.
• Assist client in menu planning: coordinate food, beverage, room set up, and other services as requested by the client.
• Detail banquet event orders and process client invoices.
• Compile sales reports as required in a timely and accurate manner.
• Maintain accurate and up-to-date records of all activity/transactions.

Requirements:

• 2+ years of sales and catering experience with a strong emphasis on social events
