Job summary

BambooHR is seeking an Event Manager, Executive & Hosted Experiences to lead high-touch events involving executives, employees, customers, and partners. You will plan from concept through completion, coordinating with executives, assistants, and leadership to ensure polished experiences with strong logistical execution.

You will manage timelines, venues, vendors, budgets, and communications, while partnering across teams to meet program objectives.

Qualifications

• 2+ years of experience in executive support, operations, project or program coordination, event coordination, hospitality, or related role.
• Experience working with executives or Executive Assistants in a professional setting.
• Clear, concise written and verbal communication for senior stakeholders.
• Strong organizational and multi-timeline coordination skills.
• Experience coordinating vendors, venues, budgets, procurement, travel, or complex operational logistics.

Responsibilities

• Own planning and execution of high-touch experiences from concept to completion.
• Coordinate executive participation, briefing information, schedules, and onsite logistics.
• Translate plans into clear communications for executives and stakeholders.
• Manage event logistics: timelines, venues, attendee communications, registration, transportation, F&B, materials, hospitality, onsite needs.
• Lead venue sourcing, vendor selection, contract negotiations, procurement, and budget management.
• Develop detailed project plans, timelines, checklists, run-of-show, and readiness materials.
• Collaborate with Marketing, Sales, Customer Experience, and executives to align programs with goals.
• Monitor budgets and provide recommendations balancing attendee experience with fiscal responsibility.
• Proactively communicate progress, risks, decisions, and dependencies to leadership.
