Job summary

Glen Oaks Community College seeks an Executive Assistant to Admissions who performs the full range of secretarial duties, provides clerical support, and coordinates office activities for the Admissions Department.

You will process applications, transcripts, and placement scores; communicate with students regarding admissions; assist with campus events and recruitment visits; and provide frontline customer service to students and staff. Evening or weekend hours may be required.

Qualifications

  • Associate degree or progress toward degree required.
  • Strong keyboarding/typing ability.

  • Handle mail, calls, emails, and appointment scheduling for Admissions.

Position Title: Executive Assistant to Admissions

Reports To: Director of Admissions

General Summary:

Employees in this position, performing the full range of secretarial duties, provideclerical support, and coordinate office activities for non-clerical supervisors. Theyparticipate in and supervise the performance of a variety of clerical tasks, performsecretarial tasks, and participate in management support activities through applicationof a body of knowledge related to instructions (procedures, practices, manuals orother specified instructions), guidelines (policies, rules, regulations or laws),and office equipment.

Duties and Responsibilities:

Examples performed by this position include:

  • Provide clerical support to the Director of Admissions and the Admissions Department.
  • Assist in supervision of work-study students and student ambassadors.
  • Process admission applications, high school transcripts, GED transcripts, and standardizedplacement test scores.
  • Communicate with students regarding admissions processes and general inquiries througha variety of methods (phone, text, email, letter, and in-person).
  • Assist with college functions related to the department (e.g. St. Joseph County CollegeFair, New Student Orientations, Transfer Day, Campus visits, and off-campus presentationsand events.)
  • Handle incoming mail, e-mail, phone calls, texts, and appointment arrangements forthe Admissions Department.
  • May arrange on-campus recruitment visits for transfer colleges and universities.
  • Assist with the display and inventory of college promotional literature, pertainingto admissions, in the student services area of the college and at other on-campuslocations.
  • Assist the Admissions Office in the preparation of packets and distribution of Collegepromotional items for on-campus activities or off-campus locations and events.
  • Assist the Director of Admissions in obtaining school rosters for prospective students.Create mailing lists for recruiting purposes.
  • Serve as back-up clerical support for the Registration and Records office as needed.
  • Order office, copier, and student ID supplies for Student Services.
  • Provide frontline customer service for Student Services. Greet students/staff whenthey enter student services.
  • May work evenings and weekends as needed for admissions office and/or events.
  • Other duties within the scope of this position as assigned by their supervisor.
Required Qualifications:
  • Associate degree in related field or sufficient progress towards degree to be ableto complete within a year.
  • Demonstrate keyboarding ability.
  • Skilled in Microsoft Office Suite.
  • A comprehensive command of grammatical structure, sentence structure, spelling, punctuation,and the ability to compose, in good form, various correspondences.
  • Knowledge and skill in operation of computer and other standard office machines andequipment.
  • Strong interpersonal communication ability with the public, students, and all staff.
Preferred Qualifications:
  • One (1) year experience in secretarial position.
  • Bi-lingual with ability to speak English and Spanish
  • Proficient in Ellucian Colleague
