Executive Assistant to the CEO – Durham, NC

Self-Help is an economic justice organization. We are seeking an Executive Assistant to the CEO to provide high-level administrative support to the CEO and other senior leaders. The role involves confidential tasks, discretion, good judgment, and priority handling for conflicting needs.

Responsibilities
  • Compiling and delivering timely and accurate Board Packets for monthly Board Meetings.
  • Ensuring clear and timely communication with board members, receipt and distribution of reports, efficient preparation for meetings, and timely and accurate follow‑up.
  • Managing the calendar of the CEO.
  • Coordinating travel and confirming travel logistics.
  • Completing and tracking expense reports.
  • Conducting follow‑up needed from events.
  • Composing correspondence based on verbal direction and/or knowledge of company policies or procedures.
  • Reading and routing incoming mail; filing correspondence and other records; maintaining electronic and manual file systems.
  • Responding to visitors or callers seeking access to the CEO or seeking organizational information, determining the nature of the query and directing them to the appropriate person or providing information when able.
  • Scheduling appointments as requested when appropriate.
  • Prioritizing and resolving conflicting needs, proactively identifying potential solutions to anticipated conflicts and following through on tasks to completion with minimal direction within appropriate deadlines.
  • Handling all matters with the highest level of confidentiality and discretion.
  • Providing support for the development and coordination of all materials to be utilized during general meetings, board meetings, and special events.
  • Arranging catering, video, and conferencing needs for general meetings, board meetings, and special events.
  • Recording minutes of meetings and distributing them to participants in a timely manner as needed.
Qualifications
  • Associate’s Degree or equivalent relevant experience.
  • Seven years of increasingly responsible administrative support experience.
  • Experience providing executive‑level support (preferred).

  • Advanced problem‑solving skills and ability to resolve potential conflicts.
  • Excellent interpersonal skills, including the ability to interact with individuals at all levels.

  • Ability to adapt to changing priorities, effectively plan, organize, and prioritize work, and accelerate priorities when needed.
  • Knowledge of administrative and clerical procedures, file and record management, form design, and other office procedures and terminology.
  • Proficiency with the Microsoft Office suite, intermediate Excel skills, and comfort working with technology.
  • Willingness to work overtime when needed.
