This position is located in the Bureau of Healthcare Quality.
Provide executive level administrative support and expertise to the Deputy Director of Healthcare Quality on a one-on-one basis to include professional and proficient execution of routine assignments with reoccurring, stringent deadlines and special projects of a complex nature. Serves as an adjunct member of Healthcare Quality's Leadership Team.
Works directly with the Deputy Director to support all aspects of their daily work routine. Responsible for the completion of various high level administrative tasks to include assisting in the development of presentations, transcribing source material, prepare documents, reports, tables and charts, maintain paper and electronic filing systems. Responsible for composing and preparing routine correspondence, sometimes of a time sensitive and/or confidential nature.
Maintains various records and documents. Organizes and prepares for meetings. Responsible for researching, prioritizing, and following up on issues and/or concerns addressed to or by the Deputy Director. Serves as a liaison between the deputy director, agency staff and the public. Serves as a member of the Healthcare Quality Leadership Team (HQLT) to include ensuring agendas and handouts are prepared and ready for dissemination prior to meetings, ensuring HQLT members meet reporting deadlines set by Deputy Director.
Provides summaries of meetings to the HQLT. Manages HQLT special projects as assigned and assists HQLT members with various tasks and projects as needed by providing coordination, monitoring, and communication of the projects and programs. Assists with scheduling for the HQLT and may draft, review and send communications on behalf of the HQLT.
Serves as the HQ office manager including but not limited to being the primary contact for building concerns such as equipment, furniture and the office layout and moves, supporting other departments or Executives as needed. Serves as the backup to the PCAS coordinator and may be assigned a PCard. Performs other duties as required, including training of employees as needed and participating in disaster preparedness and responses. Designated as an essential employee, subject to duty and/or call on a 24-hour basis during an emergency.
Minimum And Additional Requirements
A high school diploma and relevant experience in business management, public administration or administrative services. A bachelor's degree may be substituted for required work experience.

Preferred Qualifications
A bachelor's degree and at least three (3) to five (5) years in supporting a senior executive or team experience.

DRIVING RECORD: If this position requires the applicant to possess a valid driver’s license to operate a state vehicle or personal vehicle, any applicant being considered in the final stages of selection for the position will be required to provide a certified copy of a 10-year driving record.
