Job summary

UnitedHealthcare is seeking an Executive Assistant to support the COO Provider Operations in Minnetonka, MN. The role blends high-level administrative support with strategic calendar management, travel planning, and confidential communications in a fast-paced enterprise.

You will partner with senior leaders, coordinate cross-team initiatives, prepare materials for meetings, and enable efficient operations across the enterprise.

Qualifications

  • 5+ years of executive-level administrative support for senior leaders (VPs and above) within a large organization.
  • Experience coordinating complex calendars, executive travel, leadership meetings, and enterprise initiatives.
  • Advanced proficiency in Microsoft Outlook, Excel, PowerPoint, Word, Teams, and related collaboration tools.
  • Demonstrated experience anticipating executive needs, managing ambiguity, and exercising sound judgment independently.
  • Proven experience handling highly confidential information with discretion, tact, and professionalism.
  • Solid executive presence and emotional intelligence with the ability to interact confidently with senior executives and external partners.
  • Resides within reasonable commuting distance to Minnetonka, MN office; willing to work onsite four days per week.
  • Willing and able to travel up to 10% depending on business need.

Responsibilities

  • Provide primary executive support to the Operations & Experience COO Provider Operations and team, including calendar management, meeting coordination, travel arrangements, and expense management.
  • Anticipate needs and triage requests to accelerate effective decision-making.
  • Coordinate with the O&E executive leadership team and other assistants across the enterprise.
  • Perform BSL duties for Provider Operations team.
  • Prepare materials for executive meetings, board interactions, and external engagements.
  • Ensure meeting logistics, technology, and resources for in-person, hybrid, and virtual meetings.
  • Act as a gatekeeper for the COO's office and triage requests with sound judgment.
  • Attend meetings to capture notes, decisions, and action items, and follow up.
  • Prepare presentations, correspondence, reports, and briefing materials using Microsoft Office tools.
  • Support enterprise initiatives and special projects across business priorities.
  • Coordinate executive travel, expense management, and logistics with accuracy and discretion.

UnitedHealthcare (UHC) is seeking a highly capable Executive Assistant to support the COO Provider Operations and team in a fast paced, highly visible enterprise environment. This role is critical to the effectiveness of the team, requiring exceptional judgment, discretion, confidentiality, and the ability to anticipate needs in a dynamic enterprise setting.

The Executive Assistant serves as a trusted partner to the COO Provider Operations, enabling seamless operations, optimizing time and priorities, and facilitating effective communication and coordination across enterprise teams. The ideal candidate brings strong executive presence, advanced organizational skills, and the ability to operate with confidence at the most senior levels of the organization.

This role is based in the Minnetonka, MN office with flexibility to work a hybrid schedule, which is defined as four days onsite, and one day offsite per week.

Primary Responsibilities:
  • Provide primary executive support to the Operations & Experience COO Provider Operations and team, including comprehensive calendar management, meeting coordination, travel arrangements, expense management, and day-to-day operational support
  • Proactively anticipate needs and remove obstacles by leveraging a deep understanding of the COO's priorities and context to independently triage requests and accelerate effective decision-making
  • Serve as a key partner to the O&E executive leadership team, coordinating closely with other executive assistants across the enterprise
  • Perform BSL duties for Provider Operations team
  • Ensure the COO, Provider Operations is prepared for meetings by anticipating needs, assembling decision‑ready materials, and capturing key decisions and follow‑ups to drive timely completion
  • Handle sensitive, confidential, and time critical information with the utmost discretion, professionalism, and adherence to internal policies and procedures
  • Prepare, coordinate, and distribute materials for executive meetings, board level interactions, and external engagements
  • Ensure all meeting logistics, technology, and resources are fully prepared and functioning for in person, hybrid, and virtual meetings
  • Act as a gatekeeper and liaison for the COO's office, triaging requests, exercising sound judgment, and independently determining appropriate action
  • Attend meetings as requested; capture notes, track decisions and action items, and follow up to ensure timely completion leveraging AI tools and resources such as Microsoft Copilot
  • Prepare presentations, correspondence, reports, briefing materials, and executive communications using Microsoft Office tools
  • Support enterprise initiatives and special projects, providing administrative and coordination support across business priorities
  • Ensure flawless execution of executive travel, expense management, and logistics, enabling a seamless experience for the COO
  • Manage executive approvals and workflows (e.g., travel, expenses, agreements, procurement tools) with speed, accuracy, and discretion
  • Coordinate with facilities, IT, and enterprise partners to support office needs, onboarding, and operational requirements as needed
  • Support leadership meetings, offsites, and special projects requiring administrative coordination and follow‑through
  • Greet and support visiting executives, enterprise leaders, and external partners with professionalism and confidence

Required Qualifications:
  • 5+ years of experience providing executive level administrative support to senior leaders (VPs and above) within a large, complex organization (Fortune 500 preferred)
  • Experience coordinating complex calendars, executive travel, leadership meetings, and enterprise initiatives
  • Advanced proficiency in Microsoft Outlook, Excel, PowerPoint, Word, Teams, and related collaboration tools
  • Demonstrated experience anticipating executive needs, managing ambiguity, and exercising sound judgment independently
  • Proven experience handling highly confidential information with discretion, tact, and professionalism
  • Solid executive presence and emotional intelligence with the ability to represent the office and interact confidently, professionally, and effectively with senior executives, internal partners, and external stakeholders
  • Exceptional organizational skills with experience managing multiple, competing priorities simultaneously
  • Resides within reasonable commuting distance to Minnetonka, MN office; willing and able to work onsite in Minnetonka office four (4) days per week.
  • Willing and able to travel 10% +/- depending on business need
Preferred Qualifications:
  • Experience supporting C‑suite or enterprise growth, strategy, or commercial leaders
  • Experience coordinating office moves including hardware and software requisitions, asset management, travel arrangements, new hire onboarding and other office management responsibilities
  • SharePoint experience and comfort managing executive level content repositories
  • Experience leveraging AI tools (e.g., Copilot) to enhance productivity and executive support effectiveness

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $34.00 to $60.00 per hour based on full‑time employment. We comply with all minimum wage laws as applicable.
