WellMed, part of the Optum family, is seeking an Executive Assistant based in-office to support senior leadership with calendar management, travel arrangements, and document preparation. The role requires multitasking in a fast-paced environment and strong organizational skills.

The successful candidate will handle confidential information, prepare meeting materials, coordinate meetings and events, and ensure all resources are configured for meetings.

Qualifications

  • High school education or equivalent experience.
  • 2+ years of administrative support to leadership in a corporate setting.
  • Proficient level of Microsoft Office including Word, Excel, Outlook, and PowerPoint.
  • Experience working in a fast-paced, matrix organization.
  • Experience handling confidential matters with tact and discretion.
  • Experience with meeting production and organization including PowerPoint presentations, scheduling, catering, etc.

Responsibilities

  • Provide primary support to leadership with schedule, coordinate and manage meetings, expenses & travel.
  • Maintain and communicate sensitive or confidential information in accordance with internal policies and procedures.
  • Manage active calendars, resolve scheduling conflicts and prioritize time management for executives.
  • Create, prepare, and distribute all meeting materials.
  • Maintain budget and sponsorships for charitable/community relations and promotional items.
  • Ensure resources and technology are set up and working for all meetings.
  • Make travel arrangements for leadership.
  • Plan and coordinate Broker meetings and external events as needed.
  • Organize logistics of large or offsite events using internal resources as needed.
  • Prepare or format office documentation for various audiences.
  • Post relevant documentation onto relevant systems and boards.
  • Maintain and distribute broker email and address mailing lists.
  • Utilize Microsoft 365 and other applications.

The Executive Assistant will support leadership with senior level administration services including answering the telephone, typing/word processing of documents, maintaining calendars and setting up meetings, making travel arrangements, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance.

This is a fast-paced working environment that requires the ability to multitask with attention to detail and excellent organizational skills.

Primary Responsibilities:

  • Provide primary support to leadership with schedule, coordinate and manage meetings, expenses & travel
  • Maintain and communicate sensitive or confidential information in accordance with internal policies and procedures
  • Manage active calendars, resolve scheduling conflicts as they arise, prioritize ensuring effective time management for the executives
  • Create, prepare, and distribute all meeting materials
  • Maintain charitable/community relations and promotional items budget and sponsorships
  • Ensure all resources and technology are set up and working for all meetings
  • Make travel arrangements for leadership
  • Help plan and coordinate Broker meetings and external events as needed
  • Organize logistics of large or offsite events, using internal resources as needed
  • Compile and integrate information needed to complete reports and documents
  • Prepare or format office documentation needed for various audiences
  • Post relevant documentation onto relevant systems and communication boards
  • Maintain and distribute broker email and address mailing lists as needed
  • Utilize Microsoft 365 software and other applications
  • Monitor and oversee internal office communications
  • This position may occasionally assist in onboarding new employees depending upon the role of the hire
  • Maintain and keep updated office and distribution lists
  • Consult and communicate with internal and external customers to identify and provide resources
  • Research and provide needed information to respond to requests in a timely matter
  • May occasionally assist with reviewing and approving timecards, employee reviews and feedback

Required Qualifications:

  • High school education or equivalent experience
  • 2+ years of administrative support to leadership in a corporate setting
  • Proficient level of all Microsoft Office including Word, Excel, Outlook, and PowerPoint
  • Experience working in a fast-paced, matrix organization
  • Experience working independently and under pressure at times to handle a wide variety of activities and confidential matters with tact and discretion
  • Experience handling all aspects of meeting production and organization including creation of Power Point presentations, scheduling, catering, room preparation, etc.
  • Exceptional attention to detail
  • High degree of personal integrity and strong interpersonal skills
  • Ability to provide high quality, consistent services to the various leaders within the department

Preferred Qualifications:

  • Experience working within a healthcare setting
  • Experience working for a Fortune 500 company
  • Experience with booking business travel following company guidelines and recommendations
  • Experience with AMEX Travel
  • Experience with Concur
  • Experience with Smartsheet

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $20.00 to $36.00 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
