We are seeking an experienced Executive Assistant to provide dedicated support to a Senior Executives and CEO based in Boston. This is a high-visibility and highly confidential role requiring exceptional judgment, discretion, resourcefulness, and professionalism.
The ideal candidate is proactive, organized, and comfortable operating in a fast-paced, mission-driven environment. This individual will serve as a trusted partner, anticipating needs, managing competing priorities, and helping ensure the executive is positioned to operate effectively across a broad range of business activities. This is an onsite position based in Boston, Massachusetts.
Responsibilities
- Provide high-level administrative and organizational support to a senior executive.
- Manage a complex and frequently changing calendar, including meetings, appointments, events, and competing priorities.
- Coordinate complex domestic and international travel arrangements, itineraries, accommodations, and related logistics.
- Handle highly confidential and sensitive business matters with exceptional discretion and sound judgment.
- Manage and prioritize executive communications, including email correspondence and follow-up items.
- Draft, edit, and prepare correspondence, presentations, reports, meeting materials, and other business documents.
- Coordinate, execute, and support special projects and strategic initiatives using tools such as Excel and PowerPoint.
- Prepare meeting agendas, compile materials, coordinate logistics, capture key actions, and manage follow-up as needed.
- Develop and maintain spreadsheets, databases, trackers, and other tools to support reporting and executive priorities.
- Serve as a key point of contact with senior leaders, internal teams, clients, business partners, and other external stakeholders.
- Build strong working relationships across the organization while maintaining appropriate confidentiality and discretion.
- Anticipate executive needs, identify potential challenges, and proactively recommend or implement solutions.
- Organize and prioritize a high volume of work while meeting deadlines in a dynamic environment.
- Exercise independent judgment when managing requests, resolving issues, and determining appropriate next steps.
- Support additional business, administrative, and special-project needs as required.
Qualifications
- Bachelor’s degree with at least 4 years of relevant experience, or 6–10 years of directly related executive support experience.
- Demonstrated experience supporting senior-level executives in a complex, fast-paced organization.
- Exceptional discretion and demonstrated ability to manage highly confidential and sensitive information.
- Strong business acumen and understanding of executive-level priorities and organizational dynamics.
- Excellent organizational and time-management skills, with the ability to manage multiple priorities and adapt quickly to changing needs.
- Strong written and verbal communication skills, including experience preparing professional business correspondence and executive-level materials.
- Advanced proficiency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
- Ability to work independently with minimal direction while exercising sound judgment and good decision-making.
- Strong interpersonal skills and the ability to communicate effectively and professionally with individuals at all levels of an organization.
- Proactive problem-solving skills and a demonstrated ability to anticipate needs before they arise.
- Ability to remain composed, responsive, and highly organized in a demanding environment.
- Experience within construction, real estate, professional services, or another complex business environment is beneficial but not required.
Working Conditions
- This role primarily operates in a professional office environment, with occasional travel or visits to other business locations as needed.
- The employee must be able to sit for extended periods and regularly use a computer, telephone, and other standard office equipment.
- Some standing, walking, and reaching may be required.
- The work environment is typically quiet to moderately active.
