We are looking for an Executive Assistant to the Founder & CEO to manage the calendar, coordinate travel, and support day-to-day operations of our New York office.

You will work closely with the CEO to prioritize commitments, arrange meetings, and drive operational efficiency across the organization.

Qualifications

  • 2+ years of professional experience in executive support, operations, or similar organized role.

Executive Assistant to CEO & Operations Coordinator

Hybrid — New York, NY Full-time $85,000 – $105,000

It requires someone who can understand how the product works, reason through data, navigate technical issues, communicate clearly with clients, and move problems forward without relying on constant internal support.

We work with sophisticated enterprise organizations where accuracy, responsiveness, and strong client leadership matter.

About the Role

We are hiring a highly organized, proactive Executive Assistant to work closely with our Founder & CEO and support the day-to-day operations of our New York office. At its core, this role exists to make sure the CEO’s time, attention, commitments, and priorities are managed exceptionally well. You will help organize a constantly changing calendar, stay ahead of important follow-ups and deadlines, coordinate meetings and travel, manage incoming requests, and make sure important commitments do not get lost in the pace of the business.

We need someone who sees operational friction and helps create order around it. You may organize a recurring process, build a tracker, improve how follow-ups are managed, coordinate an internal project, help run the office, prepare for an important meeting, send materials to a customer, coordinate a delivery, or handle an errand that simply needs to get done. The right person is equally comfortable managing a complex executive calendar and figuring out a better system for something that currently lives in someone’s head.

What You’ll Do
Executive & Calendar Management
  • Own and actively manage the CEO’s calendar across internal meetings, customer conversations, external commitments, travel, events, and changing priorities.
  • Anticipate scheduling conflicts and help protect time for the work that matters most.
  • Coordinate meetings across internal teams, customers, partners, vendors, and other external stakeholders.
  • Help ensure the CEO is prepared for important meetings, deadlines, commitments, and follow-ups.
  • Keep the calendar accurate and organized as priorities change.
Priorities, Follow-Through & Executive Organization
  • Help turn a high volume of conversations, ideas, requests, and commitments into clear next steps.
  • Maintain visibility into important follow-ups so critical items do not fall through the cracks.
  • Track deadlines, outstanding decisions, commitments, and items requiring the CEO’s attention.
  • Prepare materials, context, agendas, and other information needed for important meetings.
  • Help distinguish what requires the CEO’s involvement from what can be delegated, handled elsewhere, or resolved independently.
Travel, Meetings & Logistics
  • Coordinate domestic and occasional international travel, including flights, hotels, ground transportation, itineraries, and last-minute changes.
  • Coordinate logistics for leadership meetings, customer meetings, company events, dinners, and other executive commitments.
  • Handle reservations, meeting spaces, catering, materials, and other details required to make meetings run smoothly.
  • Support expense management and recurring executive administration.
Office & Day-to-Day Operations
  • Help ensure the New York office operates smoothly and the team has what it needs.
  • Manage supplies, deliveries, shipping, vendors, meeting logistics, and other office needs.
  • Coordinate company gatherings and in-office activities when needed.
  • Handle local errands, purchasing, deliveries, and other time-sensitive logistical needs.
  • Step into miscellaneous operational tasks that need an owner and drive them through completion.
Processes & Special Projects
  • Identify recurring work that is disorganized, manual, or overly dependent on individual memory and help create a better system.
  • Build and maintain simple trackers, checklists, workflows, and documentation where they make work more efficient.
  • Coordinate executive or cross-functional projects that require strong organization and follow-through.
  • Help establish repeatable processes around recurring executive and office needs.
  • Take loosely defined assignments, determine what needs to happen, and move them forward.
What We’re Looking For
  • 2+ years of relevant professional experience in executive support, operations, project coordination, office management, or another highly organized role.
  • Direct experience supporting a founder, CEO, or senior executive.
  • Exceptional organization and attention to detail.
  • Strong judgment about urgency, priorities, confidentiality, and when something requires escalation.
  • Strong follow-through. If you own something, people should not need to chase you for it.
  • Comfortable working with a leader whose schedule, priorities, and needs can change quickly.
  • Excellent written and verbal communication skills.
  • Comfortable interacting professionally with executives, customers, partners, vendors, and employees.
  • Resourceful and able to figure things out independently rather than requiring detailed instructions for every task.
  • Comfortable moving between executive support and very practical work, including scheduling, errands, shipping, office logistics, and administrative tasks.
  • Able to create structure around recurring work using simple processes, tools, trackers, and documentation.
  • High discretion when handling confidential company, customer, and personnel information.
  • Comfortable learning and working across tools such as Google Workspace, Slack, project management systems, CRM platforms, and other SaaS tools.
