Job summary

Ridgeview Institute Smyrna is seeking an Executive Assistant to support the CEO, COO, and CNO. The role provides administrative support to the Administration Department, coordinates medical staff activities, and manages credentialing and files in a healthcare setting.

The ideal candidate will have an Associate Degree and 3+ years of admin experience in healthcare or HR, with strong MS Office skills, confidentiality, and the ability to work under deadlines.

Qualifications

  • Associate degree preferred; or equivalent combination of education and experience.
  • At least three (3) years’ experience as an Administrative Assistant in a health care setting or two (2) years in human resources, preferably in a health care setting.
  • Experience or knowledge in medical staff credentialing and related processes.

Responsibilities

  • Provide administrative support for the Administration Department staff.
  • Attend departmental and clinical meetings; coordinate medical staff activities.
  • Manage executives' calendar and set up meetings; screen and direct phone calls.
  • Prepare weekly, monthly and quarterly reports; manage daily expenses.
  • Oversee clerical/switchboard staff and office management; maintain filing systems.

Join our team as a Executive Assistant to the CEO, COO, and CNO!The Executive Assistant is responsible for providing administrative support for the Administration Department staff, including performing clerical duties, attending departmental and clinical meetings, coordinating medical staff activities, maintaining medical staff credentialing and files. Act as point of contact among executives, employees, and other leadership. Manage information flow in a timely and accurate manner. Manage executives' calendar and set up meetings. Manage daily expenses and prepare weekly, monthly and quarterly reports. Oversee performance of the clerical/switchboard staff. Act as an office manager by keeping up with office supply inventory. Format information for internal and external communication; memos, emails, presentations, reports, etc. Screen and direct phone calls. Organize and maintain the office filing system.Education: Associate Degree in Business Administration, Human Resources or related field preferred; or an equivalent combination of education and experience.Experience: At least three (3) years’ experience as an Administrative Assistant in a health care setting or two (2) years in human resource experience, preferably in a health care setting; or combination of education, training or experience in either field.Skills:Excellent MS office knowledgeOutstanding organizational and time management skillsExcellent verbal and written communication skillsDiscretion and confidentialityAbility to work independently and under pressure of deadlinesSolution drivenHighly organizedAdditional Requirements: Must be able to type at least 65 w.p.m.; knowledge of medical terminology, and thorough knowledge of Word and Excel software programs; shorthand experience desired.
