Job description

Executive Assistant to CEO and President

Executive Assistant to the CEO and President

Outpost is pioneering Earth return logistics for space. We're building vehicles that can return payloads from orbit safely and precisely—enabling faster space-based manufacturing, global delivery, and entirely new capabilities in the space economy. Our spacecraft is already backed by the U.S. government with multiple missions ahead. We’re a mission-focused team, building with urgency, grit, and care for the work we do and the people we do it with.

We are looking for a high-performing Executive Assistant to support both our CEO and our President, who work closely together. This is a key role that ensures their days run efficiently, that they stay focused on top priorities, and that the details—both big and small—are handled with care and precision. You’ll be central to the flow of communication, planning, and execution, and your work will directly impact the pace and quality of leadership at the company.

Who You Are

You’re the person who keeps everything running smoothly—anticipating needs, solving problems before they arise, and making life easier for the people you support. You’re highly organized, situationally aware, and know how to read the room. Whether it’s securing a last‑minute meeting link or managing travel details down to the minute, you move with precision, confidence, and care.

You take pride in doing things right the first time, seeing things through, and staying ahead of the curve. You’re comfortable shifting between strategic planning and hands‑on tasks, and nothing falls through the cracks on your watch. You bring calm to chaos, clarity to clutter, and you’re the person people rely on when things really matter.

We believe in recognizing great work and will value yours—your contributions won’t go unnoticed. The CEO and President are hands‑on leaders who deeply appreciate reliability, thoughtfulness, and strong execution.

We welcome applicants with a range of educational and professional backgrounds. Whether you’ve come up through traditional roles or taken a more unconventional path, what matters most to us is your judgment, follow‑through, and work ethic.

Responsibilities

Support the CEO and President with:

  • Full ownership of scheduling and calendars for both executives—coordinating internal and external meetings with attention to detail and context
  • Keeping your executives informed of their day, their week, and what’s coming—daily briefings (evening summaries for the next day), and nudges as needed
  • Supporting inbox management with a goal of inbox zero
  • Editing and drafting external emails, notes, and memos
  • Escorting executives to calls/meetings and ensuring they stay on schedule—adjusting plans in real time when needed
  • Tracking follow-ups, priorities, and action items
  • Leading logistics for key meetings and events—drafting agendas, confirming attendees, reserving space, coordinating with Ops and IT
  • Conducting research and preparing background materials
  • Proofreading presentations and documents for accuracy and polish
  • Booking travel, including flights, lodging, ground transport, and itineraries
  • Submitting and tracking expense reports
  • Being available outside standard office hours for urgent or time‑sensitive needs
  • Support reception‑related duties including greeting guests, coordinating visitor logistics, and ensuring a professional front‑of‑house experience
Qualifications
  • Proven experience supporting senior executives or founders
  • Highly organized with strong problem‑solving skills
  • Calm under pressure and comfortable managing competing priorities
  • Tech‑fluent: Microsoft Office, Google Suite, Slack, Zoom, and willing to learn new tools
  • Professional presence and emotional intelligence—able to interact well with high‑level partners and internal teams
  • Comfortable with discretion and handling sensitive/confidential information
  • Willing and able to do whatever it takes—big or small, glamorous or not—to keep things running smoothly
  • Able to exercise sound judgment, take initiative, and complete tasks independently with minimal oversight
  • Able to work on‑site in Playa Vista five days per week
  • $85,000–$125,000 annual salary. Salary may vary based on experience.
  • Equity participation
  • Performance‑based bonuses
  • Medical, dental, and vision insurance
  • Short‑ and long‑term disability insurance
  • Life Insurance
  • 401(k) with company match
  • Paid time off
  • Catered lunch, snacks, and coffee

You must be a U.S. citizen or lawful permanent resident of the U.S., a protected individual as defined by 22 C.F.R. § 120.15, or eligible to obtain authorization from the U.S. Department of State.
