Job summary

State Street Corporation in the United States is seeking an Executive Assistant to support our North American team in a hybrid capacity, with on-site presence at the Boston office three days a week. You will handle confidential information, manage complex calendars, coordinate travel, and prepare materials for executives and stakeholders.

  • Bachelor’s degree or equivalent work experience in a related field (preferred).
  • Five or more years of administrative experience, with at least three years of executive-level support.
  • Advanced knowledge of Microsoft Outlook (calendar, tasks, journals, contacts) and strong organizational skills.
  • Ability to make travel arrangements and follow up on details.
  • Discretion in researching and analyzing problems, maintaining confidentiality, and exercising good judgment.
  • Adaptability to changing priorities and ability to meet deadlines in a fast-paced environment.
  • Solid business knowledge and excellent written and verbal communication skills, including proficiency in spelling, punctuation, grammar, and editing.
  • Strong interpersonal skills and customer‑service orientation, capable of establishing relationships with managers, clients, customers, vendors, and the general public.
  • Proficiency in word processing, Excel, and typing with speed and accuracy.
  • Self‑motivation to assume responsibility without direct supervision.

Responsibilities

  • Handle highly confidential and sensitive information with discretion.
  • Exercise judgment on matters of significance and collaborate across multiple business lines and geographies.
  • Screen telephone calls and emails, routing them appropriately.
  • Review and disseminate incoming documents and communications.
  • Prepare a variety of materials on a daily, weekly, or monthly basis.
  • Administer executives’ calendars by coordinating complex meetings involving senior internal and external participants, including clients, regulators, and vendor partners.
  • Coordinate meeting agendas and prepare presentation materials, handouts, and logistics.
  • Plan events, catering, and reserve venues as needed.
  • Administer complex travel arrangements and maintain related documentation.
  • Act in accordance with Risk Excellence as part of the Way Ahead foundation.
  • Partner closely with Executive Assistants across the organization.
  • Interact with senior leaders and internal teams such as HR, Finance, IT, Security, Catering, Travel, and external vendors.
