Covetrus is a global animal‑health technology and services leader dedicated to empowering veterinary practice partners to drive improved health and financial outcomes. The Executive Administrative Assistant will work in close partnership with our Executive team.
This position requires strong organizational skills, a proactive nature, resourcefulness, and creative problem‑solving skills, with a willingness to go the extra mile. It will be onsite full time – Monday through Friday – in our Chicago office located at 401 N. Michigan Ave., Suite 1600, 16th Floor, Chicago, IL 60611.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Serve as the primary point of contact for all matters pertaining to the senior leader’s team, managing a wide range of administrative and support tasks.
- Expertly manage complex calendars with great attention to detail; plan, coordinate, and ensure schedules are followed and respected.
- Act as gatekeeper and gateway, creating win‑win situations for direct access to senior leader’s time and office.
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion under deadline pressures.
- Assist with office management, overseeing day‑to‑day operations and serving as onsite point of contact for facilities, vendors, and building management.
- Build rapport to bridge communication between senior leader(s) and others within the organization and externally, operating with tact and maintaining confidence as necessary.
- Complete critical deliverables with a hands‑on approach, providing content creation for presentations and correspondence using Microsoft Office; proofread and edit prepared content.
- Organize, manage, and submit expense reports via Concur.
- Coordinate meeting logistics and technology for both virtual and on‑site meetings, including presentation preparation, meeting space, and catering services.
- Coordinate Chicago office logistics: space planning, visitor coordination, supply management, and maintenance requests to ensure a professional work environment.
- Partner with HR, IT, and Facilities teams to support employee onboarding, workspace setup, and office‑related initiatives at the Chicago location.
- Provide backup coverage for other executive leadership team administrative assistants, maintaining awareness of company initiatives and objectives.
QUALIFICATIONS
- Associates Degree preferred and/or equivalent years of administrative experience.
- 3+ years of experience as an administrative assistant for a Senior Vice President or C‑Suite executive.
- Strong written and verbal communication, leadership, and time‑management skills.
- Excellent organizational skills, ability to prioritize multiple tasks with excellent attention to detail.
- Proficient with Windows, Microsoft Word, Excel, PowerPoint, and other software programs.
- Critical thinking, interpersonal, and problem‑solving skills.

- Ability to juggle multiple projects and re‑prioritize as necessary to align with business objectives.
- High level of customer service aptitude, self‑starter, and ability to quickly identify tasks.
- Excellent communication skills (verbal and written) and problem‑solving abilities.
- Willingness to roll up sleeves, interact with employees at all levels, and maintain follow‑up.
- Proficiency in Word, Excel, Outlook, Gmail.
- Experience managing a physical office location preferred.
