The Opportunity

The Executive Assistant will support the President, managing workflow and coordinating strategically to enhance impact. This role requires organization, discretion, and proactive support for communications, calendar, and stakeholder interactions. The ideal candidate is detail-oriented, proactive, with strong writing skills, and able to handle high-level responsibilities, contributing to the Foundation’s mission and strategic goals.

Key Responsibilities
  1. Workflow & Task Management: Manage priorities, update the President’s To-Do List, coordinate with the Operations team.
  2. Communication & Email Management: Draft and review correspondence, track messages, handle sensitive matters with discretion.
  3. Calendar & Meeting Management: Maintain and optimize the President’s calendar, balance commitments, and track personal engagements.
  4. Meeting Preparation & Follow-Up: Prepare briefing materials, organize agendas, and summarize decisions and actions.
  5. Document Organization & Retention: Organize digital and physical documents for easy access and retention.
  6. Expense & Travel Coordination: Manage expense reports, reimbursements, and assist with travel arrangements.
  7. Technology & Systems: Maintain system access, coordinate troubleshooting, and ensure seamless tech use.
  8. Internal Relationships & Leadership: Collaborate with leadership, build relationships, and support strategic alignment.
Skills and Qualifications
  • Bachelor’s degree and 7+ years of executive support experience.
  • Strong organizational, prioritization, and deadline management skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency with calendar, meeting, and workflow management tools.
  • Experience with expense tracking and financial processing.
  • High emotional intelligence, interpersonal skills, and experience working with diverse backgrounds.
  • Discretion and judgment handling confidential information.
  • Team-oriented, collaborative, and committed to justice, diversity, equity, and inclusion.
Location & Schedule

Hybrid work model in downtown San Francisco, three days/week, with schedule flexibility based on President’s needs. Candidates must reside in or be willing to relocate to the San Francisco Bay Area and be authorized to work in the U.S.

Compensation & Benefits

Competitive salary ($110,000–$130,000), health/dental/vision insurance, FSA, life insurance, paid time off, holidays, and a professional, values-driven environment.
