An impact-focused organization is actively seeking a self-driven Executive Assistant to join our diverse team. This role offers an exceptional opportunity to be part of a dynamic, growth-oriented team, providing numerous challenges and responsibilities to further your professional journey.
In this role, you will directly support two high-level leaders and collaborate with various stakeholders, including other executives, business partners, and a dedicated team of professionals who support all business operations throughout the organization. The ideal candidate is a fast learner who thrives in a high-paced, goal-driven environment. They are detail-oriented, service-minded, proactive, and enjoy working within a team.
Beyond the daily tasks, this role offers the chance to be part of an organization that significantly impacts the lives of individuals, families, and communities. This role also includes office management functions, ensuring smooth operations, and contributing to the organization's overall efficiency.
The position requires an individual who can commit to being in the office 4 days a week (Monday-Thursday).
What You'll Do
- Provide high-level support to our General Counsel, including managing their schedules, coordinating meetings, and preparing necessary materials
- Handle heavy calendar management and scheduling using Microsoft Outlook
- Coordinate and obtain signatures for various legal documents from executives across the organization
- Prepare professional correspondence and accurately document meeting minutes
- Arrange business travel, including itineraries and agendas
- Assist executives in staying organized and tracking their task list via project management tools
- Manage report tracking, file management, and meeting minutes
- Coordinate meetings and events, including prepping and registering for conferences
- Organize and submit expense reports on behalf of executives
- Maintain strong business relationships with external vendors or parties
- Provide general office support and back-up support for the administrative team
- Conduct research and manage special projects as needed, demonstrating initiative and problem-solving skills
- Manage admin and operations in the office, maintaining the office space and day-to-day needs of the on-site team
- Organize food and drink delivery, manage office inventory, and greet and manage visitors
- Coordinate with building management for facilities issues, maintain strong relationships with key vendors, and process and follow up on invoices
Requirements
What You'll Bring
- Strong organizational and multitasking skills, with the ability to prioritize and manage time effectively
- Excellent communication skills, both verbal and written
- Proficiency in Microsoft Office Suite and other relevant software applications
- Ability to work independently and as part of a team and collaborate effectively with others
- Attention to detail and accuracy in managing paperwork, scheduling, and expenses
- Flexibility and adaptability to changing priorities and demands
- Positive attitude and strong work ethic
Education & Experience
- Miniumum of 4+ years of EA/OM experience
- Highly experienced with Microsoft Office Suite
- Bachelor's degree

The expected base salary range for the role is $100,000 - $120,000. This represents the current range and is subject to change. To determine starting pay we carefully consider a variety of factors, including primary work location and an evaluation of a candidate's skills, experience, market demands, and internal parity.
