Recruiting Manager at Green Key Resources

Private Equity firm in NYC is seeking an Executive Assistant/Office Manager to join their organization. The ideal candidate will have 4-7 years of experience with both office management and assistant duties, preferably within financial services or professional services.

Fully onsite

Hours: 9am - 6pm

Responsibilities:

  • Support daily operations of the office
  • Handle office management duties including stocking the kitchen, liaising with building vendors, and ordering office supplies
  • Support a team of senior executives with meeting coordination, travel planning and logistical support
  • Provide high level administrative support by proactively assisting and anticipating senior management’s needs
  • Manage calendars including scheduling appointments, reservations, and expenses
  • Keeping track of to-do list, call list, reminders and deadlines
  • Coordinate and prepare all in-person, virtual, and over-the-phone meetings including technology support and setup as needed
  • Assist with planning events and investor conferences
  • Manage various databases and documentation, drafting communication as needed
  • Keep organized records of all files and process documents
  • Assist on ad-hoc projects when needed

Requirements:

  • Bachelor’s Degree preferred, not required
  • Minimum of 4-7 years of administrative experience out of financial services or a similar environment
  • Highly organized and able to prioritize multiple tasks while maintaining high attention to detail
  • Strong problem-solving skills and ability to exercise sound judgment with minimal supervision
  • Must exhibit exceptional written and verbal communication skills
  • Advanced proficiency in MS Office including Word, Excel, and PowerPoint
  • Computer proficiency with ability to troubleshoot technology as needed
