We have achieved tremendous results transforming underperforming properties with our first 12 acquisitions, totaling over 300,000 square feet with more than 120 tenants.

Position Overview

We are seeking a highly organized, proactive, and adaptable Executive Assistant / Office Administrator to support the company’s two co-founders and oversee daily office operations. This role is vital for maintaining smooth office functioning and supporting leadership efficiency. Core responsibilities include executive support, basic bookkeeping in QuickBooks Online, office administration, and acting as a liaison with investors.

The ideal candidate is detail-oriented, takes initiative, communicates effectively, and thrives in a fast-paced environment. You should be comfortable working independently, handling ambiguity, and willing to take on various tasks.

Essential Duties & Responsibilities

Executive Support
  • Provide direct support to the company’s two partners on business and personal matters
  • Manage calendars, schedule meetings, coordinate travel, and handle reservations
  • Assist with tracking projects, deadlines, and deliverables
  • Prepare and edit reports, letters, presentations, and documents
  • Handle inbound communication (calls, emails, voicemails)
  • Perform personal tasks such as errands, booking travel, scheduling appointments, researching/purchasing gifts, home maintenance coordination, vehicle maintenance, bill payments
Bookkeeping / Finance
  • Manage basic bookkeeping tasks in QuickBooks Online, including bank and credit card transactions, and generate monthly P&L reports
  • Prepare checks, bill payments, deposit checks, monitor bank accounts
Office Administration
  • Oversee office operations for organization and efficiency
  • Act as contact for vendors, suppliers, building management
  • Manage office supplies, equipment, snacks/drinks
  • Maintain a clean and welcoming environment
  • Manage office records, contact databases, and filing systems
  • Coordinate onboarding for new hires
  • Assist with payroll, benefits, and company policies
Investor & Team Communication
  • Serve as liaison with investors on payments, documentation, and tax forms
  • Manage shared calendar, coordinate meetings and events
  • Monitor and respond to multiple email accounts
  • Attend and take notes during team meetings
General
  • Proactively identify tasks and needs
  • Implement new technologies for payroll, reporting, website updates, social media
  • Handle miscellaneous projects and tasks
  • Maintain confidentiality and integrity

Qualifications & Requirements

  • Minimum 3+ years relevant experience
  • Self-starter, able to work independently in a fast-paced environment
  • Highly organized, thorough, detail-oriented
  • Ability to multi-task, prioritize, meet deadlines, adapt
  • Proficient in Microsoft Office and QuickBooks Online
