QUICK USA in the North Dallas area is seeking a highly capable Bilingual Executive Assistant & Office Generalist (Japanese / English). This role splits focus between providing dedicated administrative support to corporate executives (approx. 60%) and managing general office administration for the local office (approx. 40%).

This company is seeking a highly capable and versatile Bilingual Executive Assistant & Office Generalist (Japanese / English). This role will split focus between providing dedicated administrative support to corporate executives from global headquarters (approx. 60%) and managing general office administration for the local corporate office (approx. 40%).
This position serves as a key bridge between executive management, local staff, and global headquarters, offering a flexible and supportive working environment.
Executive Administrative Care: Provide high-level, dedicated secretarial support to incoming/seconded executives from global headquarters.
Calendar & Meeting Management: Manage complex calendars, coordinate executive schedules, and arrange high-level internal and external meetings.
Travel & Relocation Logistics: Organize domestic and international business travel (itineraries, flights, accommodations) and assist with executive relocation support as needed.
Bilingual Liaison & Translation: Serve as the primary bilingual bridge between local operations and Japanese management. Translate emails, reports, and presentation materials between Japanese and English.
Expense Reconciliation: Prepare and reconcile corporate expense reports for executive travel and operations.
General Office Management: Oversee day-to-day office operations, maintain office supplies, manage vendor contracts, and handle general facilities support.
Corporate Documentation: Assist with standard administrative tasks, invoice processing, filing, and basic bookkeeping/record-keeping support.
Communication Handling: Manage general office incoming correspondence, phone calls, and greet visitors with professionalism.
Ad-hoc Corporate Support: Support local team initiatives, company events, and general administrative projects as assigned.
Work Location: North Dallas Area, TX (Dallas / Fort Worth Metroplex)
Working Hours: Standard Business Hours (9am - 5pm)
Work Arrangement:Full-time/ Hybrid flexibility on Monday and Friday
Salary Range: $70,000 – $100,000 / year

Experience: Prior experience as an Executive Assistant, Corporate Secretary, Office Manager, or Senior Administrative Assistant in a corporate environment.
Language Proficiency:
Japanese: Native-level fluency (spoken and written) required for executive communication.
English: Professional business fluency (spoken and written) for local operations and vendor management.
Key Skills:
Excellent organizational, prioritization, and time-management skills.
Strong interpersonal skills with high cultural awareness and discretion.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
Education: Bachelor’s degree preferred (High School Diploma required).
