Executive Assistant I, Strategic Communications

About The Role

This position is responsible for providing superior administrative support for Senior Managing Directors/Managing Directors and other leaders as assigned, as well as providing general New York office administrative support for the Strategic Communications segment of FTI. The position will handle all administrative functions and will require the ability to successfully balance assignments and a variety of tasks from multiple individuals. This role will be responsible for routine and non-routine tasks and will require independent judgment to plan, prioritize and organize workload. The Executive Assistant may interact with clients and other FTI executive leaders and will be required to maintain absolute discretion and confidentiality as would be expected of a professional in this role.

What You’ll Do

General Office Support

  • Greet external customers, visitors and vendors.
  • Maintain and manage meeting schedule to include (but not limited to):
    • Manage conference room, meeting room, office, and desk space reservations
    • Arrange, order, and provide set up and direction for needed catering or refreshment needs
    • Coordinate with IT for meeting needs, confirming meeting areas are set and functional prior to meeting start to ensure a smooth and complete process. Provide in-time support for troubleshooting or technological issues, as needed or requested.
    • Manage post-meeting clean up
  • Assist office team with printing, binding, or document preparation as requested.
  • Assist with operations related activities for onboarding new hires.
  • Assist with coordination of segment events and social activities, working closely with office General Manager, social committees, and Employee Resource Groups
  • All other duties as assigned.

Administrative Support

  • Process time entry for Senior Leaders
  • Provide assistance with expenses, travel arrangements, and additional tasks as requested by Executive Assistant team.
  • Data Entry in Salesforce for conflict check requests.
    • All other duties as assigned.

What You Will Need To Succeed

Basic Qualifications

  • Minimum of 2 years administrative and/or operations experience.

Preferred Qualifications

  • Accurately proofread documents for both clarity and grammatical errors.
  • A resourceful, can-do attitude with an ability to find solutions in an efficient and independent manner.
  • Self-assured and professional demeanor.
  • Proven ability to work with confidential information.
  • Strong team player and collaborates with internal and external resources.
  • High level of proficiency in software applications and Microsoft Office (word, excel, powerpoint, teams).
  • Extremely detail-oriented and organized with ability to manage multiple activities across multiple departments with minimal supervision.
  • Demonstrated ability to take initiative and interact with all levels of management.
  • Self-starter who is adaptable in an ever-changing environment.
  • Understand office policies and procedures and ensure they are communicated and followed.
  • Strong verbal and written interpersonal and communication skills.
  • Excellent organization and time management skills.
