Job summary

The City of Hartford is seeking a highly organized administrative professional to support the Director of Human Resources and Labor Relations. This role handles executive communications, schedules, travel, and document preparation with a focus on discretion and accuracy.

Full-time, 40 hours per week, with salary that includes 5% in lieu of overtime. The incumbent will support confidential HR operations and assist with special projects and SOP updates as needed.

Qualifications

  • Four-year college degree with major coursework in public administration, business administration, political science, economics or closely related field.
  • One year of progressively responsible experience in a business organization or the public service.
  • Full-time administrative experience may substitute for the above educational requirement on a one-for-one basis: one year of administrative experience equals one year of college credit.
  • Ability to maintain confidentiality and handle executive communications, scheduling, and travel for the Director.

Responsibilities

  • Coordinate executive communications including phone calls, emails and interactions with constituents, employees and officials.
  • Maintain and manage the Director's schedules and travel arrangements.
  • Assist in the preparation of internal and external documents on behalf of executive management.
  • Support special projects including large-scale file scanning and updating divisional SOPs.

Job description

The vacancy is in the Department of Human Resources. Under general supervision, performs a wide variety of responsible, complex, and confidential executive duties in support of the Director of Human Resources and Labor Relations. Responsible for the coordination of all executive level communications including taking phone calls, responding to emails and interacting with, but not limited to, constituents, current and retired employees and other officials. Maintains and manages the schedules and travel for the Director. Assist in the preparation of internal and external documents on behalf of the executive level management. May assist with special projects including large scale file scanning and maintaining and updating divisional standard operating procedures. Performs related work as required. This role requires a blend of exceptional organizational skills, high-level administrative expertise, and a commitment to maintaining the confidentiality of our HR operations.

Full-time, 40 per week hours. Salary includes 5% in lieu of overtime.

Knowledge of:
  • Principles and practices of public administration as it relates to local government.
  • Modern office terminology and procedures.
  • Computer software applications including Microsoft Office and Google Office.
  • Research methods and techniques.
