Job summary

Macquarie Asset Management seeks an experienced Executive Assistant to support the Global Head and potentially other senior leaders within the Credit & Insurance teams. The role requires expert calendar management across Sydney, Asia, London, and New York, plus travel planning, meeting coordination, and high-level discretion.

You will build strong partnerships across the senior leadership group, prepare meeting materials, take minutes, and handle sensitive information with confidentiality.

Qualifications

  • 7-10+ years of experience supporting senior executives (Managing Director or equivalent level).
  • Experience managing complex, multi-time zone international travel and scheduling.
  • Exceptional written and verbal communication skills, including experience taking accurate minutes for senior committees.
  • Highly organized with excellent attention to detail and the ability to manage multiple competing priorities under pressure.
  • Flexibility to work outside of standard hours to accommodate problem solving and global scheduling needs.
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word) and experience with tools such as Concur and Coupa.

Responsibilities

  • Manage a complex, high-volume calendar spanning multiple time zones.
  • Schedule meetings involving senior stakeholders, external clients, regulators, and board members across time zones.
  • Prepare, format and distribute meeting agendas and materials; coordinate contributions.
  • Attend Executive Committee meetings to take accurate minutes.
  • Arrange complex, multi-leg international travel itineraries including visas.
  • Coordinate logistics for global town halls and leadership events across regions.
  • Act as first point of contact for the Global Head and manage confidential inquiries with discretion.
  • Collaborate with other EAs to coordinate cross-functional scheduling and dependencies.
  • Create purchase orders and invoices via Coupa and manage monthly expense claims via Concur.
  • Provide coverage for other Executive Assistants as needed.

Executive Assistant, Credit and Insurance Teams

Join Macquarie Asset Management's Credit & Insurance team in a highly visible Executive Assistant role providing dedicated support to the Global Head. What role will you play?

As an Executive Assistant, you will act as a trusted partner to senior stakeholders, managing a complex, high-volume calendar spanning multiple time zones (Sydney, Asia, London, New York) while proactively resolving scheduling conflicts and prioritizing competing demands. You will schedule and coordinate meetings involving senior internal stakeholders, external clients, regulators, team members and board members often across three to four time zones. In addition, you will prepare, format and distribute meeting agenda and materials, liaising with contributors to ensure timely submission. Additionally, you will be asked to attend Executive Committee meetings to take accurate and concise minutes. Your scheduling expertise will be used to arrange complex, multi-leg international travel itineraries, including flights, accommodation, ground transport and visas. You will coordinate logistics for global town halls and leadership events/offsites, including cross-regional scheduling, venue and AV coordination, invitations and run sheets. You will act as first point of contact for the Global Head, managing correspondence and enquiries both with professionalism and discretion. You will build strong working relationships with other Executive Assistants across the business to coordinate cross-functional scheduling and dependencies. You will create purchase orders and invoices via Coupa, and manage monthly expense claims via Concur, ensuring deadlines and internal procedures are consistently met. You will manage confidential and sensitive information with the highest level of discretion while supporting ad hoc projects, presentations, and reporting as required. You will also provide coverage support for other Executive Assistants as needed, ensuring business continuity and maintaining high service levels while independently managing your own workload and priorities during periods of absence. This is a high visibility role offering exposure across a broad range of business activities, ideal for a candidate who brings a positive, confident, and proactive approach alongside exception organizational and time management skills. In your first 12 months, success will be defined by establishing yourself as a trusted partner to your executives, proactively managing priorities in a complex environment, and identifying efficiencies that enhance team productivity.

What you offer

Salary range for this position: $90-115k/year. Actual base salary may vary based upon, but not limited to, relevant experience, time in role, peer and market data, prior performance, business sector, and geographic location.
