Executive Assistant to Interior Design Vice Presidents

We are hiring for a premier hospitality design studio based in Las Vegas, known for crafting timeless luxury experiences through sophisticated interiors. We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Interior Design Vice Presidents. In this pivotal role, you will provide comprehensive administrative and operational support, ensuring the seamless execution of high-level projects and day-to-day department functions.
Key Responsibilities
- Manage complex calendars, schedule meetings, and coordinate national and international travel arrangements.
- Oversee staffing calendars, prepare expense reports, and handle travel requests and timesheets for the design team.
- Draft, edit, and finalize high-level correspondence, reports, and presentations with meticulous attention to detail.
- Conduct research and compile key information to support interior design initiatives and strategic planning.
- Liaise on behalf of the VPs with clients, vendors, and internal teams with professionalism and discretion.
- Lead the onboarding experience for new hires and pre‑screen recruitment candidates for the design team.
- Assist in creating requests for proposals, change orders, and additional service requests.
- Support planning and execution of department events and meetings.
- Manage incoming communication and prioritize tasks to ensure efficiency and responsiveness.
- Uphold confidentiality in handling sensitive business matters.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or related field preferred.
- Prior experience as an Executive Assistant—ideally in interior design, architecture, or hospitality.
- Executive-level polish and exceptional verbal and written communication skills.
- Advanced organizational and multitasking abilities—you thrive in a fast-paced, detail-driven environment.
- Expertise in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Proven discretion in managing sensitive information with trust and integrity.
- A proactive mindset and team spirit—you're two steps ahead, every time.
- Familiarity with the interior design industry language and workflows is highly preferred but not required.
- Experience with project management tools and systems is highly preferred but not required.
- A creative sensibility aligned with the luxury design industry is highly preferred but not required.
