Baird is seeking a dedicated Executive Assistant to enhance our Global Investment Banking team. This fully remote role involves supporting junior bankers in various capacities, including administration, process optimization, and client relationship management. We are on the lookout for a driven Executive Assistant to join our Global Investment Banking team. While this position includes typical administrative duties—such as assisting Junior Bankers with expenses, managing calendars, scheduling meetings, monitoring projects, and conducting data research—it also encompasses more advanced responsibilities. You'll be managing client relationships, supporting marketing efforts, and streamlining workflows for multimillion-dollar transactions. This role offers valuable experience within the ARC (Administrative Resource Center) and is a fully remote opportunity.

As an Executive Assistant, ARC you will:
Deal Support: Support Junior Bankers (Analysts and Associates) with project-focused tasks and workflow optimization for active M&A and capital markets transactions.
Process Optimization: Maintain and ensure data integrity for client tracking and deal pipeline management.
Travel Coordination: Orchestrate complex domestic and international travel for junior bankers, including last-minute changes during active negotiations.
Financial Administration: Process and track expense reports with strict Compliance oversight and manage deal-related expenses.
Cross-Functional Liaison: Partner with IT, HR, Compliance, and Operations teams to resolve issues.
Event Coordination: Coordinate internal and external meetings and conferences by working closely with our events team.
Team Coverage: Provide seamless backup support ensuring zero disruption to workflows during colleague absences.

What we look for:
Education and Experience:
High school diploma or equivalent required.
3+ years of administrative experience, preferably in financial services.
3+ years of hybrid or remote work experience with demonstrated success in virtual collaboration.

Discretion & Judgment: Impeccable handling of confidential information, sensitive materials, and client data.
Communication Excellence: Excellent written and verbal skills with the ability to draft easily digestible and efficient communications.
Growth Orientation: Demonstrated learning agility with the ability to quickly grasp new systems, processes, and tools, in a dynamic, goal-driven environment.
Proficiency in Microsoft 365 suite (Outlook, Teams, SharePoint, Excel, OneDrive), including experience with Copilot for task optimization, such as automating repetitive tasks and improving workflow efficiency.
Experience with CRM systems (Salesforce preferred).
Familiarity with travel systems (Concur preferred) and analytics platforms (Engage Analytics preferred).
Experience with AI technologies (such as Copilot, Chat GPT, etc.) is a plus.
Compensation Information:
$60-80k base salary, non-exempt, hourly role.
Bonus potential of up to 8.5% of base salary with upward potential as experience increases with the team
*Compensation and bonus are commensurate with experience, performance, and/or Global Investment Banking profitability.
