Description

The Department of Medicine is seeking to hire a motivated and experienced Executive Assistant to provide high-level executive and administrative support to departmental leadership within a fast-paced academic medical environment. This role manages complex calendars, communications, and confidential initiatives while coordinating priorities across leadership and key stakeholders. The incumbent serves as a trusted partner to executive leadership, independently managing highly sensitive projects, facilitating strategic initiatives, and acting as a professional representative of the department in interactions with faculty, staff, campus partners, and external constituents.

Annual range: $81,870.48-$124,570.08

Qualifications

Required:

  • Familiarity with the organization's processes, protocols and procedures.
  • Thorough knowledge of common organization-specific and other computer application programs.
  • Solid analytical / problem-solving skills.
  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
  • Strong skills to communicate effectively with all levels of staff, faculty, alumni / donors, students and external constituencies, both verbally and in writing.
  • Advising and counseling skills.
  • Ability to use high-level discretion and maintain a high level of confidentiality.
  • Ability to gather information and analyze information.
  • Ability to utilize computerized information with accuracy and a reasonable rate of speed.
  • Ability to understand and follow oral and written instructions.
  • Knowledge of English usage, grammar and punctuation.
  • Bilingual (English/Spanish) required.
  • Bachelor's degree and or equivalent combination of education/experience
  • Five (5) years of progressive experience. Equivalent combinations of education/experience may be considered.
Preferred
  • Strong service orientation.
  • Knowledge of federal regulations such as FERPA.
