Position Overview
The Executive Assistant/Project Manager will support the Managing Partner/Founder of a boutique private equity firm. The role requires top‑level assistance for senior executives, including scheduling meetings, responding to emails on the executive's behalf, drafting documents, and preparing for meetings. This individual will provide logistical and operational support, manage both business and light personal calendars, and assist with ad‑hoc and project management tasks.
Core Responsibilities
- Protect the CEO’s time by prioritizing meetings and tasks, screening calls and emails, and acting as a gatekeeper.
- Provide logistical and operational support for the CEO, including a small percentage of personal tasks such as paying bills and coordinating appointments.
- Manage the CEO’s primary business and light personal calendars, maintaining regular high‑level contact with clients and investors.
- Set up processes, implement organizational structures, and maintain contact information and CRM.
- Assist with basic office management activities and coordinate key client events.
- Liaise with travel agents to book primarily business travel arrangements.
- Submit medical insurance reimbursements and handle other documented reimbursements.
- Read through emails, problem‑solve, and gather key content and outstanding items needing action.
- Complete ad‑hoc projects as required.
Qualifications
- Minimum of 5 years’ experience supporting senior executives in a financial services office environment.
- Bachelor’s Degree is required.
- Proficient with Google Sheets and other organizational software, including CRM tools.
- Highly organized, detail‑oriented, and tech‑savvy.
- Strong problem‑solving abilities and excellent written and verbal communication skills.
- Verification of identity, education, prior employment, and references may be required.
Work Schedule & Flexibility
Office: Monday‑Thursday, 9:00‑18:00, 4 days onsite. Flexibility to work beyond standard hours (6:30‑7:00) on multiple days is required due to the executive’s schedule.
Compensation
Salary up to $140‑170 K plus bonus. Additional benefits include medical insurance, vision insurance, and 401(k).
