Help drive the success of our organisation by providing exceptional support to the people leading it.

As an IC24 Executive Assistant, you'll provide high-level organisational and administrative support to our Executive Team, helping ensure their time, priorities and commitments are managed effectively. You'll play a vital role in supporting senior leaders, enabling them to focus on delivering strategic priorities that benefit our patients, colleagues and services.

This is a role where organisation, professionalism and attention to detail are essential. One moment you could be coordinating diaries and managing competing priorities, the next, could be supporting senior meetings.

Managed by the Executive Manager, you will work closely with our other Executive Assistant in supporting the Executive Directors, senior leaders and stakeholders across the business, you'll become a trusted partner who keeps things running smoothly behind the scenes while maintaining the highest standards of professionalism and confidentiality.

No two days are the same, and you'll thrive on bringing structure, organisation and calm to a fast-paced environment.

What you'll be doing

Manage busy executive diaries, coordinate schedules and ensure senior leaders are fully prepared for meetings, appointments and key organisational activities.

Act as a key point of contact on behalf of the Executive Team, responding to correspondence, managing email traffic and ensuring communications are handled professionally and efficiently.

Supporting meetings and governance

Coordinate Board, Committee and divisional meetings, including preparing agendas, arranging logistics, taking minutes and ensuring actions and decisions are accurately recorded and followed up.

Coordinating events and travel

Support in the coordinating of events such as finalising and circulating agendas, finding and liaising with a venue, gathering dietary and accessibility requirements, room layouts.

Provide administrative and project support across a range of organisational initiatives, helping deliver priorities and improve ways of working.

Work closely with internal and external stakeholders at all levels, developing effective relationships and supporting excellent communication across the organisation.

Driving efficiency

Identify opportunities to improve processes, streamline activities and enhance the effectiveness of executive support services.

Maintaining confidentiality and professionalism

Handle highly sensitive information with discretion, professionalism and sound judgement at all times.

Who this role suits

  • Are highly organised with exceptional attention to detail.
  • Can confidently manage competing priorities and changing deadlines.
  • Have excellent interpersonal and communication skills, both written and verbal.

You’ll need the resilience to navigate ambiguity, balance competing requests and quickly refocus when priorities change. The ability to remain composed, resourceful and proactive during busy periods will be key to success in the role

Are confident using Microsoft Office applications, collaboration tools and digital technologies, including Copilot, where the majority of meetings attended will be used.

Enjoy finding solutions, improving processes and creating efficiencies.

Demonstrate professionalism, integrity and discretion when handling confidential information.

Experience within healthcare, urgent care, the NHS or a complex regulated environment would be advantageous but is not essential.

Why IC24?

At IC24, we know that great support functions are critical to delivering outstanding patient care.

You’ll join a collaborative and values-driven organisation where your contribution is recognised and where you’ll have the opportunity to work closely with senior leaders across a growing social enterprise. You’ll be trusted to make a meaningful impact while developing your skills and experience in a supportive environment.

As a leading not-for-profit social enterprise, everything we do is focused on improving care for patients while creating an organisation where colleagues feel valued, supported and empowered to succeed.

Every day, our people help patients access the care they need, when they need it most.

Let’s be honest about the role

You’ll be supporting busy senior leaders whose priorities can change quickly. You’ll need to be comfortable juggling multiple tasks, handling confidential information and working proactively to anticipate needs before they arise.

There will be times when tight deadlines, corporate priorities and competing demands require flexibility and resilience. Success in this role requires exceptional organisation, sound judgement and the confidence to operate independently while maintaining a high standard of support.
