Job Title: Executive Assistant Position Description: Protingent Staffing has an excitingcontract Executive Assistant with our client located in San Jose, CA.
The Executive Assistant (EA) to the CFO is an organizational force and a strategic extension of the CFO. This role is designed for a high‑performing operator who can solve complex problems by anticipating needs, comparing alternative solutions, synthesizing diverse points of view, and working cross‑functionally across teams. The EA is a high‑level business partner within the EA framework, and serves as a critical gatekeeper of the CFO’s time. Beyond traditional support, the EA is expected to be an ally to the CFO - occasionally helping with duties beyond administrative tasks - so the CFO can focus on work that drives decisions for the company.
Strategic Partnership & Complex Problem Solving: Analytical Decision Support: Solve complex organizational problems by evaluating alternative solutions and trade‑offs, providing the CFO with synthesized options for decision‑making. Develops professional expertise by complying with company policies and procedures, referencing and implementing them into decision‑making processes. Trusted Advisor: Manage highly sensitive and confidential information with absolute integrity, serving as a trusted partner within the Office of the CFO for executive communications and strategic plans. Project Leadership: Drive projects from conception to completion, working closely with the CFO to define scope and ensure progress. Information Management: Perform the collection, management, and security maintenance of internal/external data required for assistance to leadership. Executive Orchestration & Organization: Complex Calendar & Travel: Expertly manage dynamic international calendars and heavy travel planning, anticipating conflicts and preparing alternative solutions. Time Optimization: Serve as the primary gatekeeper for the CFO, rigorously optimizing their time to ensure focus on the highest‑priority initiatives. Operational Flow: Collaborate closely with other administrative partners and operations personnel to develop and maintain seamless information flow and operational processes. Event Orchestration: Organize space planning, events, team events, all‑hands meetings, and high‑stakes workshops. Inventory Management: Communicate with internal and external partners to acquire and maintain CFO’s storage inventory, maintaining high ethical standards towards both high and low value stock. Collaborative Liaison & Leadership: Cross‑Functional Influence: Build and maintain trust‑based relationships across various teams, influencing business partners and aligning priorities. Administrative Mentorship: Lead, coach, and mentor other administrative professionals, fostering a collaborative community and driving team values. External Representation: Engage in professional correspondence with external clients and partners, serving as a dependable representative of the CFO and company. Consistent Communication: Correspond and collaborate with teams under the CFO, developing high trust and confidentiality, allowing team members to share hidden ills within the department; bringing issues that need to be addressed to the CFO’s attention. Refine Correspondence: Read, write, edit, and distribute communications drafts, including company‑wide policies, on behalf of the CFO and company management.
Experience: 2+ years of relevant experience providing administrative support to one or more executives, including complex calendar and travel logistics.
Technical Proficiency: Expert-level proficiency in Microsoft Office Education: BA/BS Degree.
Project Management: Proven experience prioritizing multiple high‑stakes projects simultaneously.
Language Proficiency: Expert level in English, both verbal and written communication required
Preferred Qualifications Executive Level: Prior experience supporting VPs or C‑level executives at a large‑scale global technology company.
Software Expertise: Demonstrated ability to quicly adapt to intra‑network software, such as, but not limited to, Concur, Sharepoint, Archibus, and Workday. Able to integrate AI tools for efficiency and a holds a commitment to ethical AI practices.
Leadership: Experience mentoring other admins and managing logistics across multiple cross‑functional teams.
Autonomy: A consistent track record of working under own initiative, seeking feedback where appropriate, and changing direction quickly in response to new data.
Discretion: An impeccable record of ensuring confidentiality and discretion in all professional partnerships.
Language Proficiency: Basic understanding/speaking of the Korean Language is preferred, though not required.
Job Type: Contract
Pay Range: $60-$70/hr.
