Job Title: Executive Assistant

5 days Onsite

Our client, a top hedge fund, is seeking a highly organized and adaptable Executive Assistant to support a team of senior investment professionals. This is a fast-paced, high-visibility role ideal for a proactive, detail-oriented individual who thrives in a dynamic environment. The ideal candidate will bring strong communication skills, a thoughtful approach to scheduling and coordination, and a commitment to delivering top-tier support. This position will play a key role in managing critical administrative operations, enabling the investment team to operate with precision and efficiency.

Key Responsibilities

Administrative Coordination & Calendar Management

  • Manage complex calendars, scheduling internal and external meetings with efficiency and foresight
  • Anticipate and resolve scheduling conflicts while ensuring the team is well-prepared for upcoming engagements
  • Coordinate travel arrangements through internal systems, including flights, lodging, and itineraries
  • Serve as a liaison between internal stakeholders and external partners to ensure seamless logistics

Operational Support

  • Track and record engagement with external research and broker networks
  • Organize investment research materials including earnings reports, models, and company filings
  • Handle expense reports and reimbursements promptly and accurately
  • Maintain structured systems for meeting notes, files, and follow-up items

Relationship & Workflow Management

  • Build strong working relationships with external contacts, including analysts and institutional partners
  • Ensure accurate data entry and documentation related to corporate access
  • Collaborate closely with internal support teams and cross-functional departments to maintain smooth day-to-day operations

Qualifications

  • 3–5+ years of administrative or executive support experience; finance industry experience preferred but not required
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and comfort with internal databases
  • Outstanding time management skills and ability to prioritize effectively under pressure
  • High attention to detail and accuracy in a fast-paced, multitasking environment
  • Strong sense of ownership and initiative, with a proactive mindset toward problem-solving
  • Discreet and professional, with the ability to manage sensitive information with the highest level of confidentiality
  • Excellent interpersonal and written communication skills, with poise in both peer and executive interactions
  • Collaborative and team-oriented, while also able to work independently with minimal supervision
