Nestled in San Francisco's Excelsior neighborhood on a nine-acre campus, the San Francisco Campus for Jewish Living (SFCJL) is a center of excellence in providing a continuum of care. This includes the Frank Residences, which offer luxurious assisted living and memory care services; the Jewish Home and Rehabilitation Center, featuring long-term skilled nursing, short-term rehabilitation, and an acute psychiatric unit specializing in mental healthcare for older adults (age 55 and over); and the Jewish Home and Senior Living Foundation.

Position Overview :
Under the direct supervision of the Chief Nursing Officer (CNO), this position provides administrative and secretarial support to the CNO, Nursing Home Administrator (NHA), and occasionally the Nursing department. Responsibilities include typing, filing, scheduling, financial record-keeping, payroll, coordination of meetings and conferences, procurement of supplies, support for special projects, and handling confidential information. The role involves interaction with external callers and visitors, as well as internal contacts at all levels. Independent judgment is required to prioritize workload and recommend office practice improvements.
ESSENTIAL FUNCTIONS :
- Schedule and organize meetings, travel, conferences, and events for the CNO and NHA.
- Greet visitors, determine the purpose of their visit, and manage meeting visibility on behalf of the CNO and NHA.
- Answer phones, take messages, and respond to inquiries.
- Sort, distribute, and open mail; draft responses as needed.
- Type and proofread correspondence, memos, charts, and reports.
- Maintain filing systems and retrieve information efficiently.
- Act as liaison with other departments and external agencies, handling confidential information appropriately.
- Create visual presentations for the CNO and NHA.
- Manage special projects, including planning, coordinating, and dissemination of information.
- Coordinate financial matters related to departures, including processing check requests and travel reimbursements.
- Maintain databases related to education, quality improvement, compliance, employee health, and infection control.
- Coordinate schedules for education and training programs.
- Order supplies within budget, prepare materials for meetings, and compile data for reports.
- Manage day-to-day office operations and support problem-solving efforts.
- Prepare confidential materials for meetings and maintain organized filing systems.
- Handle mail, invoices, and vendor communications.
- Independently manage special projects and perform additional duties as assigned.
- Uphold strict confidentiality standards.
QUALIFICATIONS :
- Bachelor's degree in Business, Communications, or related field preferred, or equivalent professional experience.
- At least three years of experience as an executive assistant, preferably in healthcare.
- Excellent communication skills, both oral and written.
- Interest in working with seniors and enhancing their well-being.
- Strong analytical and problem-solving skills, with resourcefulness.
