Job summary

W. R. Berkley Corporation is seeking an Executive Assistant in Saint Petersburg, FL to support the President and executive team. The role requires highly organized, proactive individuals with experience in a corporate setting, preferably in the insurance industry.

You will manage calendars, coordinate meetings, and handle communications, as well as support marketing and HR initiatives and special projects.

Qualifications

  • Bachelor's degree or equivalent in business/related field.
  • 2+ years' executive-level administrative experience.
  • Experience in or knowledge of the insurance industry is a plus.
  • Proficiency with Microsoft Office and office productivity tools.
  • Strong written and verbal communication skills.
  • Highly organized with attention to detail and ability to manage multiple tasks.

Responsibilities

  • Provide comprehensive administrative support to the President and executive team, ensuring effective and efficient operations.
  • Manage complex calendars, arrange meetings and conference calls, coordinate schedules, take and distribute notes, arrange spaces, and set up technology.
  • Coordinate travel arrangements including flights, hotels, transportation, and meals.
  • Act as a liaison among executives, managers, and employees, maintaining open lines of communication.
  • Maintain confidentiality and support special projects, prepare financial reports and expense processing.
  • Review and organize corporate records and maintain company SharePoint site.

Responsibilities

We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support our President and executive team. This individual must have the ability to handle multiple tasks simultaneously, prioritize work effectively, maintain confidentiality, and work with minimal supervision in a fast-paced environment. The ideal candidate will have a proven track record of providing exceptional administrative support at the executive level in a corporate setting, preferably within the insurance industry. This person will also take on core duties supporting marketing and communications tasks.

  • Provide comprehensive administrative support to the President and executive team, ensuring effective and efficient operations.
  • Manage complex calendars, arrange meetings and conference calls, including coordinating schedules, taking and distributing meeting notes, arranging for meeting spaces, and setting up necessary technology.
  • Manage Communications, update marketing forms, and gain approvals for marketing materials.Assist in the preparation and distribution of correspondence, reports, presentations, and other documents.
  • Prepare agendas for meetings and briefs, ensuring that the President and executives are well-prepared for all engagements.
  • Coordinate travel arrangements including booking flights, hotel accommodations, transportation, and meal reservations as needed.
  • Act as a liaison, maintaining open lines of communication among executives, managers, and employees.
  • Maintain a high level of professionalism and confidentiality in dealing with sensitive information.Assist in the execution of special projects as required by the executive team.Prepares financial reports, expense reports, invoices, credit card resolution and provide other financial administration support.
  • Reviews and organizes, as needed, corporate records, documents, and reports on the company drive including maintaining company internal SharePoint site.
  • Support employee engagement by orchestrating elements of Employee Recognition Program and supporting key HR and management initiatives.
  • Perform other duties as assigned.
Qualifications
  • Bachelor's degree in Business Administration or related field preferred.
  • Minimum 2 years' experience in an administrative role at the executive level.
  • Experience in the insurance industry highly desired.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
  • Excellent communication skills, both written and verbal.
  • Strong organizational skills with the ability to prioritize multiple tasks seamlessly with excellent attention to detail.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Ability to maintain a high level of integrity, discretion, and confidentiality.
  • Ability to adapt to change with a focus on problem solving.
