Job summary

PMA Companies is seeking an Executive Assistant to support a member of the Executive Leadership Team with administrative, strategic, and operational tasks. The role will manage the calendar, coordinate travel, prepare documents, and support key projects.

The ideal candidate will be highly organized, discreet, and able to handle confidential information in a fast-paced, hybrid environment at the Blue Bell, PA office, interfacing with internal and external stakeholders.

Qualifications

  • Bachelor's degree preferred but not required.
  • 5+ years of experience as an Executive Assistant or in a similar administrative role.
  • Proficiency in Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality.
  • Strong organizational skills and attention to detail.
  • Property Casualty Insurance experience is a plus; Transformation/IT executive support preferred.
  • Ability to work under pressure in a fast-moving environment.
  • Flexible and adaptable to changing priorities.
  • Proactive mindset with the ability to anticipate and offer solutions.

Job description

We are seeking a highly organized and proactive Executive Assistant to support a member of our Executive Leadership Team with administrative, strategic, and operational tasks. The ideal candidate will be a strong communicator, highly discreet, and capable of managing competing priorities in a fast-paced environment.

Responsibilities:

  • Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Coordinate internal and external meetings, including logistics, agendas, and follow-up.
  • Handle confidential information with discretion and professionalism.
  • Serve as a liaison between the executive and internal/external stakeholders.
  • Track and assist with key projects and deadlines; provide updates and follow-through as needed.
  • Manage expense reports, invoices, and budget-related tasks.
  • Support planning and execution of executive events, meetings, or company offsites.
  • Anticipate executive needs and proactively offer solutions and support.
  • Demonstrate commitment to Company's Code of Business Conduct and Ethics, and apply knowledge of compliance policies and procedures, standards and laws applicable to job responsibilities in the performance of work.
Requirements:

  • Bachelor's degree preferred but not required.
  • Proven experience as an Executive Assistant or in a similar administrative role typically defined as 5+ years.
  • Strong proficiency in Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Ability to work independently, exercise good judgment, and maintain confidentiality.
  • Strong organizational skills and attention to detail.
  • Experience in Property Casualty Insurance industry is a plus. Prior experience supporting a Transformation or Information Technology Executive is also preferred.
  • Ability to handle pressure in a fast-moving environment.
  • Flexible and adaptable to changing priorities.
  • A proactive mindset with the ability to anticipate and offer solutions.
  • Hybrid position to the Blue Bell, PA office location
