Job summary

Grand River Health in Rifle, Colorado is seeking an organized Executive Assistant to support clinic leadership, manage calendars, coordinate communications, and assist with special projects to improve efficiency and patient experience.

This role requires strong Microsoft Office skills, confidentiality, and the ability to handle multiple priorities in a fast-paced healthcare environment.

Qualifications

  • Two years of administrative assistant experience preferred.
  • Strong knowledge of Microsoft Office and ability to prepare professional correspondence, reports, spreadsheets, and presentations.
  • Excellent grammar, spelling, proofreading, document formatting, basic math, and attention to detail.
  • Strong oral and written communication, interpersonal, problem-solving, and organizational skills, with the ability to manage multiple priorities and frequent interruptions.
  • Comfortable learning new technology, office equipment, clinical applications, and electronic medical record (EMR) systems, with proficiency in relevant organizational systems expected within six months of hire.
  • Demonstrated ability to maintain accuracy, exercise sound judgment, protect confidential information, and work effectively with a variety of people.

Responsibilities

  • Assist with day-to-day administrative functions, including data collection, analysis, and preparation of reports, charts, budgets, and presentation materials.
  • Maintain and update calendars and schedules for clinic administrators, managers, and physicians, including on-call schedules.
  • Perform clerical duties such as minute-taking, supply management, copying, faxing, emailing, filing, and document updates.
  • Coordinate meetings, including preparing agendas, issuing reminders, confirming attendance, and ordering requested materials.
  • Manage communication, take messages, and refer individuals to the appropriate personnel or department as needed.
  • Provide customer service by responding to inquiries, addressing patient concerns, and maintaining professional interactions with patients, staff, and the community.
  • Support management in special projects and initiatives as assigned.
  • Maintain strict confidentiality of all patient and organizational information.
  • Communicate daily with administrators and managers to ensure alignment and efficiency.
  • Perform a variety of tasks and other duties as assigned.

What You’ll Do

The Executive Assistant provides administrative and clerical support to ensure the smooth operation of Grand River Hospital District Clinic locations. Who We’re Looking For

We’re looking for a highly organized, detail-oriented professional who can confidently support executive leadership, manage competing priorities, and communicate effectively with staff, providers, and the public. The ideal candidate is comfortable working independently, handling confidential information, and learning new technology and healthcare systems.

  • High school diploma or equivalent preferred; two years of administrative assistant experience preferred.
