Job summary

nextSource is seeking an experienced Executive Assistant to support two executives within the Office of the Dean. This onsite Providence role requires meticulous calendar management, travel coordination, and professional communications in a fast-paced environment.

The successful candidate will handle meeting materials, event setup, front desk duties, and serve as a trusted partner. Onsite parking is provided. This temporary assignment may extend or convert to longer-term opportunities.

Qualifications

  • AA or equivalent combination of education and experience.
  • 3–5 years of executive assistant or office management experience.
  • Experience supporting executives and managing calendars.
  • Excellent written communication and professional correspondence drafting.
  • Proficiency with Microsoft Office and Google Workspace.

Responsibilities

  • Manage calendars and executive time management.
  • Draft and edit emails, letters, and professional communications.

2–3-month temp/contract with potential to extend | potential contract to hire

Dates: August 10, 2026 – November 27, 2026

Schedule: Monday–Friday, 8:00 AM–4:00 PM or 9:00 AM–5:00 PM

Location: Providence, RI 02903 (Onsite) | Department will pay for garage parking

Pay Range: $27.50/hour

Position Overview

Our client is seeking an experienced and highly organized Executive Assistant to provide critical administrative support to 2 executives within the Office of the Dean. This role will serve as a trusted partner, managing complex schedules, supporting executive communications, coordinating meetings and travel, and ensuring the smooth operation of day-to-day administrative activities.

The ideal candidate is a proactive professional with exceptional organizational skills, strong attention to detail, and the ability to effectively manage multiple priorities in a fast-paced environment.

Key Responsibilities
  • Manage calendars, schedules, and executive time management.
  • Draft, edit, and manage professional correspondence, including emails, letters, and other communications.
  • Coordinate and prepare materials for (high level and large) meetings, presentations, and events
  • Assist with event set up and clean up.
  • Arrange and manage travel logistics and itineraries.
  • Maintain filing and front desk receptionist duties.
  • Other ad hoc support as needed.

  • Will be supporting all levels of "customers" from students to executive levels, government officials, etc.
Required Qualifications
  • Associate degree (AA) or equivalent combination of education and experience.
  • 3–5 years of executive assistant, administrative support, or office management experience.
  • Demonstrated experience supporting executives.
  • Strong calendar management and scheduling experience.
  • Excellent written communication skills with experience drafting professional correspondence.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Exceptional organizational, time management, and multitasking abilities.
  • Ability to work independently and prioritize competing deadlines.
Preferred Qualifications
  • Experience coordinating executive meetings and preparing meeting materials.
  • Travel coordination and itinerary management experience.
  • Event planning or event coordination experience.
  • Experience supporting executive leadership within a professional office environment.
