Qualifications

  • Total ten years of administrative experience preferred (four more years in addition to six).

Responsibilities

  • Manages schedules and calendar for senior leaders and prepares sensitive documents.
  • Oversees daily administrative operations for the president, CNO, CMO, and COO.
  • Coordinates travel arrangements and complex itineraries.
  • Creates and edits documents, spreadsheets, and presentations.
  • Produces standard and custom reports for leadership.
  • Acts as primary point of contact and self-starter in supporting leaders.

Job Summary and Responsibilities

As our Executive Assistant for both Immanuel Medical Center and Mercy Hospital, you will be an indispensable strategic partner to senior leadership team, providing high-level administrative leadership and support to empower leaders effectiveness.

Every day, you will expertly oversee and support daily administrative operations for senior leaders; president, chief nursing officer, chief medical officer, and chief operating officer, acting as a primary point of contact and independently managing routine matters. You'll manage schedules, coordinate communications, and prepare sensitive documents, utilizing comprehensive organizational knowledge for confident decision-making.

To be successful in this role, you will possess exceptional organizational skills, discreet judgment, superior communication, and advanced tech proficiency.

  • Completes standard administrative processes and organizing as needed; may delegate or outsource these functions to others if resources are available. Takes independent action to meet critical business objectives. Sets and monitors own objectives and standards. Is known as a self-starter.
  • Anticipates business needs, plans and organizes work in support, or on behalf, of leader(s).
  • Proactively and independently manages, analyzes (as needed) and coordinates calendars and itineraries for leader(s) supported.
  • Creates and edits documents, spreadsheets, presentations and organizational charts; additionally, is able to develop complex documents, spreadsheets and presentations independently on behalf of the leader(s) supported as needed.
  • Coordinates travel arrangements, including complex travel itineraries for leaders supported utilizing standard processes and resources.
  • Runs and distributes standard reports; creates custom reports and/or analyzes reports as needed.

  • High School Graduate General Studies

Preferred

  • Bachelors Degree (Four-year degree) and Six years of administrative experience
  • Four years of administrative experience in addition to experience requirements above (total ten years of experience preferred)
