Job description

Company Description: TTS Studios partners with artists, brands, and creative teams to transform ambitious ideas into expertly-crafted environments and experiences. From touring Broadway shows and museum exhibits, to premium events and experiential marketing installations, to permanent sculptures and architectural build-outs; every project we build is custom. Our team members care about their work, treat others well, remain open to learning, recognize what is happening around them, and take responsibility for helping the company succeed. We value people who bring structure without unnecessary bureaucracy, communicate directly and respectfully, and improve the systems they inherit.TTS Studios is an equal opportunity employer committed to building an inclusive and diverse workforce.

Role Description: TTS Studios is seeking an experienced Executive Assistant to strengthen the company’s operating rhythm by helping the CEO focus on the right priorities and ensuring decisions, commitments, and information move reliably across the organization. The CEO is also currently overseeing many day-to-day operational responsibilities, creating a broad and changing mix of executive, leadership, and operational priorities. This role is not only about keeping the CEO on track. It exists to make the company work better: preparing him to make timely decisions, reducing friction and roadblocks for colleagues, keeping work from falling through the cracks, and helping leadership cadences run consistently. The EA must be able to organize complexity, follow up respectfully, redirect attention when needed, and handle sensitive information with disciplined discretion.

Core Responsibilities:

  • Own the CEO’s calendar, protect time for the priorities that most require his attention, and resolve scheduling conflicts before they create problems.
  • Lead the daily executive rhythm: prepare a concise morning brief, review priorities and decisions with the CEO, and maintain one reliable system for commitments, delegated work, ideas, and open questions.
  • Manage the CEO’s inbox with delegated access by handling routine correspondence, drafting responses for approval, converting messages into actions, and escalating only what requires his judgment.
  • Attend selected leadership, client, and vendor meetings; capture decisions, action items, owners, and deadlines; distribute follow-up; and enter commitments into Asana for accountability.
  • Serve as an organized intake point for internal requests, triage and route work appropriately, and track important commitments through closure.
  • Turn voice notes, handwritten notes, developing ideas, and incomplete thoughts into actionable work, delegated items, or clearly organized future considerations.
  • Prepare agendas and background information for important meetings, identify missing information, and present open items with a recommended action or proposed default.
  • Identify scheduling problems, missing information, unnecessary meetings, and unresolved commitments that interfere with the CEO’s effectiveness.
  • Coordinate business travel, expenses, visitors, meeting spaces, and selected recruiting logistics.
  • Notice recurring friction, loose handoffs, and undocumented processes, and help leadership strengthen the systems that support the company.

Requirements:

  • Previous experience directly supporting a senior executive, founder, owner, or entrepreneur in a growing small or midsized organization.
  • Exceptional organization, attention to detail, written and verbal communication, listening, note-taking, and follow-through.
  • Ability to distinguish between urgent, important, confidential, delegable, and low-value information and recommend a practical next action.
  • Confidence to respectfully remind, question, redirect, and follow up with the CEO and other company leaders.
  • Sound judgment, disciplined discretion, and the ability to move appropriate work forward without waiting for detailed instructions. A confidentiality agreement is required
  • Working proficiency with Asana, Google Workspace, Slack, Zoom, or similar tools, along with comfort adopting and using AI tools as part of daily work.
  • Ability to work fully onsite on a consistent schedule that overlaps with the CEO’s working hours and to move with him across the shop floor and campus.
  • Experience in construction, manufacturing, design, entertainment, events, or another project-based industry is helpful but not required.
  • Formal education is welcome but not required; demonstrated judgment and relevant experience matter most.

What Success Looks Like: The Executive Assistant will be successful when the CEO is consistently spending time on priorities, employees and leaders receive timely decisions, context, and follow-up, and fewer commitments depend on memory or last-minute intervention. Meetings should be prepared, decisions captured, delegated work visible, and open loops driven to closure. The larger measure will be when the organization operates with greater clarity, consistency, and follow-through. Within 30 days, the EA should establish a reliable daily brief, inbox triage, meeting follow-up, and commitment-tracking rhythm. Within 90 days, the EA should be anticipating recurring needs, protecting the CEO’s focus, reducing friction across the organization, and independently driving agreed business rhythms with minimal prompting.
