Executive Assistant - New York, NY

We are seeking candidates for an Executive Assistant position with a highly successful investment management firm located in New York, NY. This position will provide administrative and operational support to various teams within the firm. The Executive Assistant will be responsible for maintaining calendar management, coordinating travel arrangements (domestic & international), and event planning. The ideal candidate will have 3-5+years of administrative experience within asset management.


This is a permanent position that will pay $115,000 - $125,000 on a base salary (depending on experience). This position is required to be on-site 4 days per week in their New York office.


Responsibilities


  • Calendar Management: Coordinate complex and proactive scheduling across multiple

  • time zones for a global team.

  • Meeting & Event Coordination: Organize logistics for internal and external meetings,

  • offsites, and special events.

  • Expense Management: Prepare and submit accurate expense reports and review/approve

  • expenses on behalf of the team.

  • Travel Arrangements: Plan and book domestic and international travel, including

  • detailed itineraries and accommodations.

  • Relationship Building: Develop strong relationships with internal and external

  • stakeholders.

  • Team Support: Provide cross-coverage and backup support to other Executive

  • Assistants and leadership teams as needed.

  • Project Assistance: Support ad hoc projects for the immediate team and broader firm

  • leadership.


Qualifications


  • Bachelor’s degree in a related field required.

  • 3–5+ years of experience in a complex, global professional environment; investment

  • management experience preferred.

  • Advanced proficiency in Microsoft Office, including Word, Excel, Outlook, OneNote,

  • and PowerPoint.

  • Ability and willingness to learn new technology and internal systems to drive

  • efficiencies.

  • Excellent interpersonal and communication skills, with a high level of professionalism,

  • reliability, and discretion.

  • Strong service orientation and proactive problem-solving skills.

  • Excellent organizational, multitasking, and prioritization abilities.

  • Exceptional attention to detail and commitment to high‑quality work.

  • Ability to work under tight deadlines and adapt to last‑minute changes.
