Role Description

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide high‑level administrative and strategic support to senior executives. The ideal candidate is a trusted business partner who anticipates needs, manages competing priorities, and ensures the executive’s time is optimized through exceptional calendar management, communication, and operational support.

Key Responsibilities
  • Manage complex calendars, meetings, and scheduling across multiple time zones.
  • Coordinate domestic and international travel, including flights, hotels, transportation, visas, and detailed itineraries.
  • Prioritize and manage incoming communications, including emails, phone calls, and correspondence.
  • Prepare presentations, reports, agendas, meeting materials, and executive‑level communications.
  • Take meeting notes, track action items, and follow up to ensure timely completion.
  • Coordinate internal and external meetings, board meetings, client meetings, and leadership off‑sites.
  • Serve as a liaison between executives, business leaders, clients, and external partners while maintaining professionalism and confidentiality.
  • Manage expense reports, invoices, purchase orders, and budget tracking.
  • Support special projects, strategic initiatives, and cross‑functional coordination.
  • Maintain confidential records and handle sensitive information with the highest level of discretion.
  • Improve administrative processes and identify opportunities to increase executive efficiency.
Qualifications
  • Bachelor’s degree preferred.
  • 5+ years of Executive Assistant experience supporting C‑suite or senior executives.
  • Exceptional organizational and time‑management skills.
  • Strong written and verbal communication skills.
  • Demonstrated ability to manage multiple priorities in a fast‑paced environment.
  • High level of professionalism, discretion, and confidentiality.
  • Strong problem‑solving skills with the ability to anticipate executive needs.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and collaboration tools such as Microsoft Teams, Zoom, Slack, and Google Workspace.
Preferred Qualifications
  • Experience supporting multiple executives simultaneously.
  • Experience in financial services, consulting, or other fast‑paced corporate environments.
  • Event planning and board meeting coordination experience.
  • Project management experience.
  • Familiarity with expense management systems such as Concur.

Total Compensation

The base pay offered may vary depending on multiple individualized factors, including market location, corporate and functional title and duties, job‑related knowledge and advanced degrees, skills, and experience. The total compensation package may also include a sign‑on bonus, restricted stock units, and discretionary awards in addition to a full range of medical, financial, and other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave). Details of participation in these benefit plans will be provided if an employee receives an offer of employment.
