Qualifications

  • Associate's degree and/or 5 equivalent years of experience
  • 6+ years of experience supporting senior-level executives
  • Proficient in Word, PowerPoint, Excel, and Outlook

Responsibilities

  • Provide high-level executive and administrative support at company headquarters
  • Manage and maintain calendars and schedules with prioritized meetings
  • Manage travel and expenses for multiple executives
  • Assist executives with meeting invites, agendas, and presentation materials
  • Communicate with internal and external stakeholders with professional service
  • Screen and prioritize communications from internal and external sources
  • Determine proper course of action for incoming meeting requests or calendar items
  • Anticipate needs of leadership team and key partners; act accordingly
  • Draft or edit communications or documents for executives
  • Balance workload and protect energy and focus time
  • Arrange business meetings including onsite/offsite logistics and catering
  • Manage special projects as assigned
  • Proactively seek organizational improvements
  • Handle sensitive situations with executive discretion
  • Comply with food safety requirements and procedures

Job Purpose

Provide agile, proactive, and strategic support for executives at company headquarters, helping to facilitate productivity and collaboration within the organization. This role ensures the smooth, efficient operation of executive priorities while advancing productivity, communication flow, and organizational coordination. The Executive Assistant operates with strong judgment, anticipates needs, maintains confidentiality, and represents the executive office with professionalism.

Essential Functions
  • Provide high-level executive and administrative support at company headquarters
  • Manage and maintain calendars and schedules, using sound judgment to prioritize meetings and ensuring alignment with business strategy and needs
  • Manage travel and expenses for multiple executives
  • Assist executives with meeting invites, agendas, and presentation materials
  • Communicate via telephone, digitally, and in person to internal and external stakeholders, partners, providers, and corporate leaders, maintaining effective, friendly, and professional customer service
  • Screen and prioritize communications from internal and external sources
  • Determine proper course of action for incoming meeting requests or other calendar items
  • Anticipate the needs of the leadership team and key partners; act accordingly
  • Support executives with drafting or editing communications or documents
  • Support workload balance and protection of energy and focus time
  • Organize and manage all details related to arranging business meetings including onsite/offsite logistics, working with other affected areas’ designees, catering, remote access, communication, etc.
  • Manage special projects as assigned
  • Proactively look for ways to make improvements within the organization
  • Managing sensitive situations using executive level discretion
  • Comply with all food safety requirements, training, policies, and procedures
  • Perform other job-related duties as assigned
Qualifications (Education, Experience, Competencies)
  • Associate's degree and/or 5 equivalent years of experience
  • 6+ years of experience supporting senior-level executives
  • Proficient in Microsoft Office applications: Word, PowerPoint, Excel, and Outlook
  • Excellent verbal and written communication skills
  • Professional executive presence with the ability to build strong working relationships with people both internally and externally
  • Strong critical thinking skills
  • Strong ability to determine issue escalation protocols
  • Strategic gatekeeping and diplomacy skills
  • Possess independent initiative and judgment
  • Ability to maintain confidentiality at all times
  • Ability to manage many details related to calendaring/scheduling, follow-up requests, travel-related planning, etc., simultaneously with low rate of error
  • Ability to organize, manage multiple priorities, and maintain high attention to detail in a fast-paced environment
  • Ability to problem solve and think proactively, anticipating needs and taking initiative to eliminate any potential bottlenecks that may arise
  • Self-motivated, goal oriented, quality driven, and capable of working independently with minimal supervision
  • Ability to work a flexible schedule to meet the needs of the executive team

Residents Only: The salary range for this role is $61,336.23 to $92,003.77 annually. Pay is based upon several factors including but not limited to local labor markets, education, work experience, certifications, etc. Rise Baking Company complies with all minimum wage laws as applicable. In addition to your annual salary, Rise Baking Company offers benefits such as, a comprehensive benefits package, annual bonus eligibility, incentive and recognition programs and 401k contributions (all benefits are subject to eligibility requirements).
