Job description

LHH is teaming up with a large, established organization in Milpitas, CA in search of an Executive Assistant to provide high-level strategic and administrative support to a senior executive.

This is a highly visible opportunity for an experienced Executive Assistant who enjoys operating as a true partner to senior leadership. The role goes well beyond traditional calendar and travel coordination, with an emphasis on anticipating priorities, keeping the executive prepared, identifying potential gaps, and helping establish effective processes and ways of working. The Executive Assistant will work closely with senior stakeholders while becoming part of a collaborative community of Executive Assistants who regularly support one another. This position offers meaningful exposure to executive leadership and the opportunity to help shape how the executive support function operates.

The ideal candidate has substantial experience supporting SVP-level executives or above within a large, complex corporate environment, with strong preference for public-company experience. This person should bring executive presence, exceptional judgment, discretion, and the ability to anticipate needs several steps ahead rather than simply reacting to requests. A collaborative, team-oriented approach is critical, along with the confidence to respectfully challenge assumptions, identify potential issues, and influence stakeholders without direct authority. Stable career tenure, experience navigating Board and C-suite interactions, and the ability to remain composed when priorities shift are strongly valued.

Key Responsibilities:
  • Serve as a strategic partner to a senior executive, maintaining visibility across priorities and anticipating upcoming needs.
  • Manage complex calendars, competing priorities, meetings, and executive commitments.
  • Coordinate primarily domestic travel with occasional international travel.
  • Ensure the executive is prepared for meetings, senior leadership interactions, travel, events, and changing priorities.
  • Anticipate potential scheduling, communication, and operational issues and proactively identify solutions.
  • Provide thoughtful input, identify gaps, and appropriately challenge assumptions when needed.
  • Manage highly confidential and sensitive information with discretion and sound judgment.
  • Partner closely with other Executive Assistants and senior stakeholders across the organization.
  • Communicate concise and timely updates as priorities or circumstances change.
  • Help establish and improve executive support processes and ways of working.
  • Navigate a fast-paced corporate environment while maintaining professionalism and composure.
  • Use technology, including AI tools, to improve productivity and support executive priorities.
Qualifications:
  • Required: Experience supporting SVP-level executives or higher.
  • Required: Strong complex calendar, priority, meeting, and travel management skills.
  • Required: Fully onsite in Milpitas, CA
  • Required: Strong executive-level written and verbal communication skills.
  • Required: Demonstrated discretion and sound judgment when handling confidential information.
  • Required: Ability to anticipate needs, solve problems proactively, and operate effectively with changing priorities.
  • Required: Collaborative working style and ability to partner effectively with other Executive Assistants and senior stakeholders.
  • 10+ years of experience in a public-company environment is strongly preferred.
  • Experience within organizations of approximately 5,000+ employees is preferred.
  • Board and C-suite exposure is strongly preferred.
  • Stable employment history is strongly valued.
  • Proficiency with Microsoft Office required; experience with Concur and Workday preferred.
  • Practical experience using AI tools to enhance productivity is valued.
  • Education is not a primary consideration; relevant executive support experience is significantly more important.
