Responsibilities

  • Provide high-level administrative support to CEO and senior leadership.
  • Manage complex calendars, appointments, meetings, and scheduling priorities.
  • Coordinate domestic and international travel, including flights and accommodations.
  • Serve as a professional point of contact between executives and employees, clients, and partners.
  • Prepare correspondence, presentations, reports, and meeting materials.
  • Coordinate and prepare for executive meetings, including agendas and logistics.
  • Track deadlines, projects, and action items for leadership.
  • Handle confidential business and personal information with discretion.
  • Assist with expense reports, invoices, and other administrative tasks.
  • Coordinate events, business dinners, and executive functions.
  • Perform occasional personal assistant duties as needed.
  • Anticipate executive needs and resolve issues proactively.

Job description

We are seeking a highly professional, polished, and experienced Executive Assistant to provide comprehensive support to senior executive leadership in our Los Angeles office.

The ideal candidate will have at least 5 years of experience supporting CEOs, founders, C-suite executives, or other high-level individuals and will be comfortable operating in a fast-paced, high-expectation environment. This position requires exceptional judgment, discretion, organization, communication skills, and the ability to anticipate the needs of the executive.

The role will primarily focus on executive and business support while also including personal assistant responsibilities as needed. Key Responsibilities
  • Provide high-level administrative support to CEO and/or senior executive leadership.
  • Manage complex calendars, appointments, meetings, and scheduling priorities.
  • Coordinate domestic and international travel, including flights, accommodations, transportation, itineraries, and last-minute changes.
  • Serve as a professional point of contact between the executive and employees, clients, business partners, vendors, and other external contacts.
  • Prepare correspondence, presentations, reports, meeting materials, and other business documents.
  • Coordinate and prepare for executive meetings, including agendas, materials, logistics, and follow-up items.
  • Manage competing priorities and proactively identify scheduling conflicts and potential issues.
  • Track important deadlines, projects, commitments, and action items on behalf of the executive.
  • Handle highly confidential business and personal information with discretion.
  • Assist with expense reports, invoices, purchases, and other administrative matters.
  • Coordinate events, business dinners, meetings, and executive functions.
  • Perform occasional personal assistant duties, including personal appointments, reservations, travel, errands, purchases, and other requests.
  • Anticipate the executive's needs and proactively resolve issues before they arise.
  • Work closely with other departments and leadership to ensure projects and priorities move forward efficiently.
  • Take on additional responsibilities and special projects as the position develops.
Qualifications
  • Minimum 5 years of Executive Assistant experience required.
  • Demonstrated experience directly supporting a CEO, founder, C-suite executive, high-net-worth individual, or other senior-level leader.
  • Experience balancing both executive/business and personal assistant responsibilities strongly preferred.
  • Exceptional organizational and time-management skills.
  • Ability to manage a demanding and frequently changing calendar.
  • Excellent written and verbal communication skills.
  • Highly professional demeanor and strong interpersonal skills.
  • Exceptional attention to detail and follow-through.
  • Ability to prioritize multiple assignments and work independently with limited supervision.
  • Strong judgment and ability to handle sensitive and confidential information.
  • Advanced proficiency with Microsoft Office, Outlook, and modern productivity and communication platforms.
  • Comfortable working in a fast-paced environment where priorities may change quickly.
  • Must be dependable, proactive, resourceful, and solutions-oriented.
  • Must be available to work on-site in Los Angeles.
