IQONIC Wealth Management is seeking an Executive Assistant to support a team of financial advisors in Little Rock. The role manages calendars, coordinates meetings, and handles client-facing service to create a high-touch client experience.

Responsibilities

Location: Little Rock, Arkansas (In Office)

Schedule: Full-Time, Monday–Friday, 7:30 a.m.–4:00 p.m.

Compensation: $50,000–$60,000, Based on Experience

Position Summary

IQONIC Wealth Management is seeking a highly organized, proactive, and service-minded Executive Assistant to support our team of financial advisors and help create an exceptional experience for the clients we serve.

The Executive Assistant plays a critical role in helping our advisors operate at their highest level. This individual will manage calendars and meeting coordination, anticipate administrative needs, maintain organization around advisor priorities, and ensure important details and follow-up items don’t fall through the cracks.

Because of the client-facing nature of our business, this role also serves as an important extension of the advisors in interactions with clients. The Executive Assistant will help coordinate client meetings, respond to service needs, maintain accurate client information, and contribute to the professional, high-touch experience IQONIC is known for.

Primary Responsibilities
  • Provide proactive day-to-day administrative support to assigned advisors.
  • Manage advisor calendars, appointments, meetings, and scheduling priorities.
  • Anticipate scheduling conflicts, administrative needs, and upcoming priorities.
  • Coordinate internal and external meetings, including calendar invitations and necessary logistics.
  • Help advisors stay organized and prepared for upcoming meetings and commitments.
  • Track administrative follow-up items and ensure commitments are completed in a timely manner.
  • Assist with correspondence, documentation, presentations, and other administrative needs.
  • Serve as a reliable point of coordination between advisors, clients, and other members of the IQONIC team.
  • Identify opportunities to improve organization, efficiency, and advisor productivity.
Meeting Coordination
  • Proactively schedule annual, semiannual, quarterly, and other client review meetings.
  • Manage meeting confirmations, calendar invitations, rescheduling, and related communication.
  • Coordinate with advisors and other team members to ensure meetings are appropriately prepared.
  • Help ensure meeting spaces, materials, and necessary information are ready prior to client meetings.
  • Coordinate post-meeting administrative follow-up as needed.
Client Service & Communication
  • Serve as a professional and responsive point of contact for clients on behalf of assigned advisors.
  • Answer incoming calls and assist with or appropriately route client questions and requests.
  • Monitor incoming communications and ensure requests receive timely follow-up.
  • Assist with routine client service needs and coordinate more complex requests with the appropriate team member.
  • Maintain comprehensive client files, including scanning, saving, organizing, and storing documentation.
  • Handle client information with a high degree of professionalism, discretion, and confidentiality.
Office & Administrative Support
  • Help maintain a professional and welcoming office environment for clients, prospects, and guests.
  • Manage incoming and outgoing mail, including receiving and appropriately logging checks and other important documents.
  • Provide administrative support across the firm as needs arise.
  • Assist with special projects and firm initiatives.
  • Help develop and improve administrative processes that make the advisor team more efficient.
Client & Team Events
  • Assist with the planning and execution of client appreciation events, educational events, and team gatherings.
  • Coordinate invitations, RSVPs, materials, and other event logistics as needed.
  • Attend and support occasional client events outside of normal business hours.
Qualifications
Required
  • At least two years of experience in a professional office, client service, administrative, hospitality, or related environment.
  • Strong proficiency with Microsoft Office products.
  • Excellent written and verbal communication skills.
  • Exceptional organization and attention to detail.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Strong interpersonal and customer service skills.
  • Ability to learn new technology, systems, and processes.
  • Ability to work independently while collaborating effectively with a team.
Preferred
  • Experience in wealth management, financial services, banking, professional services, or another client-focused industry.
  • Experience with CRM or client management systems.
  • Experience coordinating calendars, meetings, or client events.
  • Experience as an Executive Assistant, Administrative Assistant or similar.
