Job description

Schulz Financial Group is a Tucson-based SEC-registered investment advisory firm that partners with clients to navigate all aspects of their financial lives. We are a small, tight-knit, and completely drama-free office located on the northwest side of town. Because we operate as a highly collaborative unit, we spend a lot of time together and heavily prioritize a positive, family-like environment where everyone supports one another.

Role Description

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to directly support the President and CEO of our SEC-registered Investment Advisor (RIA) firm. This critical role requires managing a high-volume email inbox, streamlining a complex executive calendar, and executing administrative tasks with absolute discretion.

As a fiduciary firm, compliance, precision, and confidentiality are foundational to everything we do. The ideal candidate will act as a strategic gatekeeper, ensuring the President can focus on high-level growth and client management while operations run seamlessly in the background.

Position Type

This position is Part-Time, Benefits-Eligible, 25-30 hours per week with a Flexible, Predictable, Family-Friendly Schedule. This role is an excellent opportunity for a professional re-entering the workforce or a parent looking for a high-impact role with predictable, stable hours.

Key Responsibilities
  • Filter and triage upwards of 300+ daily emails, organizing them strictly by urgency and priority.
  • Draft initial responses and follow-up communications on behalf of the President.
  • Track action items embedded in email threads to ensure no deliverable or client request is missed.
  • Delegate and tag internal team members into relevant email chains for resolution.
  • Maintain inbox hygiene by systematically unsubscribing from junk mail and managing spam filters.
Calendar & Schedule Optimization
  • Own the executive calendar, coordinating and scheduling high-priority meetings without conflicts.
  • Liaise with external partners, including wholesalers, our marketing & PR firm, and referral networks.
  • Coordinate client logistics, such as booking reservation details for client lunches and partner meetings.
  • Protect the President's time by proactively buffering meetings and prioritizing deep-work blocks.
Task & To-Do List Execution
  • Manage the President’s daily to-do list, preparing tasks that specifically require their direct attention or feedback.
  • Follow up on outstanding tasks across the team to gather updates before executive review.
  • Handle sensitive administrative duties unique to a wealth management environment with strict adherence to SEC compliance guidelines.
Qualifications & Skills
  • Experience: Prior experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator. Experience within financial services, wealth management, or an SEC RIA environment is highly preferred but not required.
  • Tech Savviness: Proficiency with executive tech stacks (e.g., Microsoft 365/Outlook, Google Workspace, CRM systems like Redtail, Orion, OnceHub, FMG Suite, etc.).
  • Communication: Exceptional written and verbal communication skills, with the ability to mirror the President's professional tone.
  • Discretion: Absolute commitment to maintaining confidentiality regarding sensitive financial data and client information.
  • Proactivity: A self-starter mindset capable of anticipating needs and solving minor operational bottlenecks independently.
What We Offer
  • Competitive pay commensurate with experience: $25-$30/hour
  • Performance-based quarterly bonus.
  • Competitive 401(k) Match: We invest in your future with a 6% company match.
  • Profit-Sharing Opportunities: When the company succeeds, our entire close-knit team wins together.
  • Generous PTO Package: We work hard, but we deeply respect your personal time to rest and recharge.
  • Professional Growth: Fully covered CE, continuous education, and certifications to advance your career.
  • Business Travel: Opportunities to travel, explore, and bond with the team on company-sponsored trips.
  • A Drama-Free, Supportive Workplace: Enjoy a cohesive, collaborative, and friendly environment where you are truly valued.
  • Direct mentorship from the firm's principals and clear pathways for career equity or leadership growth as the firm expands.
