Executive Assistant

JOB PROFILE SUMMARY The Executive Assistant provides high-level administrative and project coordination support to one or more senior executives at Peckham, enabling the leader they support to focus on strategic initiatives and organizational priorities. This role manages complex schedules, communications, and confidential information while fostering strong relationships across all levels of the organization. The Executive Assistant exercises sound judgment, anticipates executive needs, and coordinates activities that require a thorough understanding of Peckham's policies, practices, and mission. The Executive Assistant serves as a trusted partner, maintaining confidentiality, fostering strong internal and external relationships, and supporting the mission-driven operations of Peckham.

ESSENTIAL FUNCTIONS
  • Build a strong working relationship with the executive they are supporting, developing a deep understanding of their priorities, preferences, and leadership style.
  • Provide thoughtful support that helps the executive stay focused on strategic goals, offering perspective and anticipating needs as part of a trusted partnership.
  • Proactively manage the executive’s calendar, balancing priorities across internal meetings, external engagements, travel, and personal time.
  • Anticipate conflicts and reschedule with minimal disruption.
  • Prepare agendas, briefing documents, and background research for meetings.
  • Attend meetings when needed, take notes, and ensure follow-up actions are tracked and completed.
  • Lead or support the execution of departmental projects, ensuring alignment with strategic goals.
  • Track milestones, manage timelines, and coordinate cross-functional collaboration to drive results.
  • Coordinate complex travel arrangements and accommodations.
  • Understand the team’s business plan and key results (OKRs), and actively support the review process.
  • Use WorkBoard to monitor progress, surface insights, and support alignment with objectives.
  • Plan and execute internal and external events, including leadership offsites, team-building activities, and stakeholder engagements.
  • Manage logistics, vendors, and communications to ensure successful and impactful experiences.
  • Handle sensitive information with the utmost confidentiality and integrity.
  • Maintain secure systems for document management and compliance with corporate policies.
  • Prepare and submit accurate expense reports for the executive and departmental activities.
  • Ensure compliance with company policies, reconcile receipts, and resolve discrepancies promptly.

QUALIFICATIONS
  • Bachelors Degree in a related field.
  • Required or an equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities may be considered.
  • Required 2 - 3 years years of experience in an executive assistant or high-level administrative support role.
  • Preferred Experience in the vocational rehabilitation field, and/or have worked with a non-profit organization.
  • Preferred Experience supporting senior executives or nonprofit leadership.
  • Preferred Experience creating and analyzing spreadsheets and presentations.
  • Required Advanced working knowledge of Microsoft Office Suite (i.e., PowerPoint, Word, Excel, and shared collaborative tools such as SharePoint, BoardEffect, WorkBoard, WorkDay and/or OneDrive for Office 365) - Required Understanding Peckham’s mission, service, and goals.
  • Required Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Required Ability to perform research and analysis of reports as needed and provide briefing reports.
  • Required Excellent customer service and communication skills.
  • Preferred Flexibility to take on a wide range of responsibilities to support the C-Team.
