Recruiting Manager at Green Key Resources

Our client, a corporate organization in Jersey City, is seeking an Executive Assistant to provide administrative support to a C-Suite executive. This role offers exposure to Board-level activity, investor relations, and executive operations along with competitive compensation. Must have 5+ years of C-level support experience within a professional office setting.

Hours: 9am - 6pm

Responsibilities:

  • Manage work schedule and calendars to support the needs of executive, adapting to ever-changing needs
  • Schedule appointments and travel, including lodging arrangements and extensive travel itineraries
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Maintain active “To Do” List and help executive on track
  • Prepare various reports on a timely basis, including expense reports
  • Assist in preparing PowerPoint presentations, research, and meeting materials
  • Manage planning for annual trips and conferences as needed, maintaining schedule of events
  • General understanding of investor outreach process, updating list of investors and maintain electronic files
  • Monitor, screen, respond to and distribute incoming communications (i.e., phone, emails, messages) in a professional manner
  • Maintain updated contact information and manage all appropriate filing of necessary paperwork
  • Plan and execute events, outings, and Board of Directors dinners

Requirements:

  • Bachelor’s Degree is preferred
  • Minimum 5 + years related experience supporting a C-Suite Executive
  • Highly organized and able to prioritize multiple tasks with minimal supervision
  • Exceptional written and verbal communication skills
  • Proficiency in Microsoft Office (Word, PowerPoint, and Excel)
  • Familiarity with Investor Relations platforms preferred
