Job description

$100K-$130K (DOE)

An ultra-high-net-worth private client in the Dallas area is seeking an experienced Senior Executive Assistant to provide high-level executive support, with additional personal support responsibilities as needed.

This is an opportunity for a polished, highly organized professional who excels at managing complex schedules, coordinating sophisticated domestic and international travel, and anticipating the needs of a busy executive. Beyond traditional executive support, this individual will assist with select personal priorities and special projects.

The ideal candidate has experience supporting a high-profile executive, business owner, or ultra-high-net-worth principal and understands the discretion, flexibility, and exceptional attention to detail required in a high-trust environment.

Key Responsibilities
Executive & Business Support
  • Manage complex calendars, appointments, meetings, and competing priorities, ensuring the principal's time is organized effectively.
  • Coordinate domestic and international travel, including multi-destination itineraries, accommodations, transportation, and detailed travel arrangements.
  • Manage email correspondence, track action items, coordinate follow-ups, and help ensure important priorities remain on schedule.
  • Prepare documents, organize information, manage expenses, and support administrative needs across business activities.
  • Coordinate meetings, appointments, and communications with business associates, executives, vendors, and other key contacts.
  • Anticipate scheduling conflicts and administrative needs, exercise sound judgment, and proactively resolve issues.
  • Support special projects and other business-related priorities as needed.
Personal & Lifestyle Assistance
  • Coordinate personal appointments, commitments, purchasing, and day-to-day logistics alongside executive responsibilities.
  • Research and coordinate gifts, personal purchases, and special requests, applying sound judgment and an understanding of the principal's preferences.
  • Provide occasional personal assistance to help ensure professional and personal priorities are managed seamlessly.
  • Partner with household project managers, contractors, and service providers to track projects, timelines, and outstanding items.
Qualifications
  • Experience supporting an ultra-high-net-worth individual, principal, or family in a private office, family office, or similarly high-touch environment.
  • Significant experience providing direct executive-level support to a CEO, business owner, senior executive, or other high-level decision-maker.
  • A demonstrated history of long-term tenure with previous employers, reflecting reliability, loyalty, and the ability to build lasting, trusted professional relationships.
  • Demonstrated ability to manage complex calendars, competing priorities, and detailed domestic and international travel arrangements.
  • Experience coordinating personal matters, household operations, property needs, or lifestyle-related responsibilities in addition to executive support.
  • Exceptional organizational skills, attention to detail, and follow-through.
  • Strong written and verbal communication skills and the professionalism to represent the principal in interactions with high-profile contacts.
  • Excellent judgment, discretion, emotional intelligence, and an understanding of confidentiality.
  • Proficiency in Microsoft Office and comfort using technology to manage schedules, information, and administrative workflows.
  • Flexibility to accommodate occasional after-hours needs and travel as required.
The Ideal Candidate

You are an experienced Executive Assistant who operates as a trusted partner rather than simply a task manager. You are proactive, resourceful, and comfortable working in a high-expectation environment where priorities can shift quickly.

You understand how to protect an executive's time, manage sensitive information, coordinate complex logistics, and anticipate needs before they arise. You are equally comfortable handling executive-level administrative priorities and stepping in to coordinate personal or household matters when needed.

Experience supporting an ultra-high-net-worth principal or family is essential.
