Job summary

NuMark Credit Union seeks an organized Executive Assistant to provide high-level administrative support to the executive leadership team. You will manage schedules, coordinate meetings and events, prepare correspondence and presentations, and handle confidential information with discretion.

The role requires strong Microsoft Office skills and a customer-focused approach. You will interact across leadership, staff, members, vendors, and community partners to keep the organization running smoothly.

Qualifications

  • High school graduate required; Associate's or Bachelor's degree preferred.
  • Minimum of three years of executive administrative support experience preferred.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Exceptional organizational and time management skills with strong attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Strong interpersonal skills with the ability to interact professionally at all levels of the organization.
  • Self-motivated and able to work independently with minimal supervision.
  • Strong problem-solving and critical-thinking abilities.

Responsibilities

  • Manage executive calendars, schedule appointments, meetings, and events.
  • Coordinate travel arrangements, including transportation, accommodations, itineraries, and expense reporting.
  • Prepare, edit, and distribute correspondence, reports, presentations, agendas, and other executive materials.
  • Serve as a primary point of contact for internal and external communications.
  • Organize and coordinate meetings, including room reservations, logistics, materials preparation, and meeting minutes.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Assist with Board of Directors meetings by preparing packets, materials, agendas, and minutes.
  • Track and follow up on action items, projects, and deadlines.
  • Coordinate company events and executive-sponsored programs.
  • Maintain filing systems and documentation for accuracy.
  • Provide support for special projects and strategic initiatives.
  • Build positive relationships with employees, members, vendors, and partners.

The budgeted compensation range for this position is $26.00 - $29.00 per hour (non-exempt). Individual rates vary based on skills and experience.
