Position Purpose

We are seeking a highly organized and proactive Executive Assistant to provide high-level support to for our Senior Leadership team. This role requires a professional with exceptional communication skills, sound judgement, and the ability to manage a wide range of administrative and operational responsibilities in a fast paced environment.

The Executive Assistant will serve as a trusted partner, managing calendars, travel, and communications while ensuring the smooth coordination of internal and external meetings, events, and office operations.

Position Responsibilities

  • Manage calendars for senior leaders, including scheduling and confirming meetings.
  • Arrange domestic and international travel, including transportation, accommodations, and detailed itineraries.
  • Draft, format, and edit presentations, reports, and executive communications.
  • Prepare agendas, attend key meetings, and take and distribute meeting minutes or follow-ups as requested.
  • Maintain strict confidentiality of sensitive information.
  • Coordinate visitor logistics and ensure a polished, professional experience for clients, partners, and guests.
  • Support and coordinate internal events, team meetings, and special projects.
  • Oversee Support Office needs, including supplies, space setup and vendor coordination.
  • Maintain internal systems and documents, ensuring accuracy and accessibility for leadership needs.

Requirements & Minimum Qualifications

  • Bachelor’s degree or equivalent experience
  • 4-6 years of administrative experience supporting Senior Leaders (experience in hospitality preferred)
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel)
  • Excellent written and verbal communication skills with attention to detail
  • High level of discretion, judgement, and professionalism in handling confidential information
  • Ability to work independently, manage multiple priorities, and adapt to shifting demands
