Job summary

Wonder seeks an experienced Executive Assistant to support two CEOs, the CTO, and other executives in a high-growth environment. You will manage calendars, coordinate meetings with boards and investors, and streamline operations across multiple time zones.

The role requires 4 days in the office per week, exceptional discretion, and polished communication. It offers comprehensive benefits and equity as part of Wonder’s compensation package.

Qualifications

  • 4-6+ years supporting C-level executives in fast-paced environments.
  • Excellent organizational skills with multiple priorities.
  • Strong judgment, discretion, and professionalism with confidential information.
  • Outstanding written and verbal communication.
  • Experience supporting executive leadership in finance, operations, or tech startups is a plus.

Responsibilities

  • Provide high-level administrative support to CEO, CTO and other C-suite leaders.
  • Manage complex executive calendars and coordinate meetings with internal and external stakeholders.
  • Coordinate travel, prepare expense reports, and manage budgets and documentation.
  • Draft and edit executive communications and presentations for diverse audiences.
  • Plan and coordinate meetings, offsites, and board-relevant events across time zones.

This role serves as a trusted partner to executive leadership, managing complex administrative operations, communications, scheduling, and cross-functional coordination in a fast-paced, high-growth environment.The ideal candidate thrives in ambiguity, exercises exceptional judgment and discretion, anticipates needs before they arise, and brings a high level of professionalism, curiosity, and operational excellence to everything they do.This is a unique opportunity to play a critical role in supporting executive leadership while helping drive organizational effectiveness and operational efficiency across Wonder.The Impact You Will MakeExecutive Partnership & Calendar ManagementProvide high-level administrative and operational support to CEO, CTO and other C-Suite level leadersManage complex executive calendars, prioritizing competing demands and aligning schedules with business prioritiesCoordinate and support executive meetings with internal and external stakeholders, including board members, investors, and senior leadershipAnticipate executive needs, proactively solve problems, and improve administrative workflows and processesTrack priorities, deadlines, deliverables, and follow-up items with minimal directionServe as a trusted liaison across internal and external stakeholders, ensuring seamless coordination and communicationCommunication & DocumentationDraft, edit, proofread, and distribute executive communications, presentations, and messaging for a variety of audiencesCommunicate professionally and effectively with stakeholders at all levels of the organization, including executives, board members, investors, and external partnersMaintain highly confidential information, files, records, and correspondence with discretion and professionalismMeeting & Event CoordinationPlan and coordinate executive leadership meetings, business reviews, offsites, town halls, and strategic planning sessionsManage meeting logistics including scheduling, room coordination, vendor management, agendas, materials, and follow-up actionsSupport both virtual and in-person meetings across multiple time zones and locationsAssist with coordination of board meetings and executive-level events as neededOffice & Operational ExcellenceCoordinate domestic and international travel arrangements, itineraries, and related logisticsPrepare and process expense reports, invoices, budgets, and administrative documentationEnsure efficient day-to-day operations of the executive offices and contribute to a positive team environmentIdentify opportunities to improve operational efficiency and administrative processes across the organizationWhat You Bring to the Table4-6+ years of experience supporting C-level executives, preferably within fast-paced or high-growth environmentsExceptional organizational skills with the ability to manage multiple priorities simultaneouslyStrong judgment, discretion, and professionalism handling confidential and sensitive informationOutstanding written and verbal communication skillsProven ability to anticipate needs, solve problems proactively, and operate independentlyHigh attention to detail and strong follow-throughAdvanced proficiency in Google Workspace, including Gmail, Google Calendar, Google Docs, Sheets, Slides, and Drive, with experience operating within a highly collaborative Google-based work environmentExperience supporting executive leadership in finance, operations, technology, or high-growth startup environments is a plusGot These? Even Better:Experience coordinating board meetings, investor communications, or executive-level presentations is preferredBachelor’s degree or equivalent experience preferredAs a matter of company policy, Wonder does not sponsor applicants for employment visa status for this role.This role requires a minimum of 4 days a week in the office, with additional days as needed based on role demands.New York: $96,000-$114,500 per year.Illinois: $86,500-$103,000 per year.Wonder uses geographic-specific salary structures, which means the salary offered may vary depending on where the job is located. The final salary offer will take into account various factors, such as the candidate's skills, education, training, credentials, and experience.BenefitsThe benefits applicable to this role include a competitive compensation package with equity and a 401(k).
